Customer Operations Specialist
P&T, part of Pavement Maintenance Group (PMG), is seeking a Customer Operations Specialist to help deliver an outstanding customer experience while supporting the coordination that keeps our manufacturing and distribution operation moving. This full-time, nonexempt role is ideal for someone who is highly organized, exceptionally detail-oriented, and comfortable managing customer needs, orders, logistics, documentation, and multiple priorities at the same time.
The Customer Operations Specialist works closely with our operations and sales teams to provide customers with responsive, accurate support throughout the order and delivery process. This includes coordinating with transportation providers, freight brokers, vendors, production, warehouse, laboratory, and other internal partners to ensure orders are processed correctly, customers stay informed, and issues are addressed quickly. Strong communication, follow-through, organization, and attention to detail are critical, as this position connects many moving parts across the business.
Key Responsibilities
Serve as a primary point of contact for customers by phone, email, and other communication channels. Process customer orders accurately from order entry through fulfillment, shipment confirmation, and invoicing. Respond to questions regarding products, pricing, inventory availability, shipping, and delivery schedules while maintaining clear and professional communication.
Coordinate outbound freight shipments, obtain transportation quotes, schedule deliveries, communicate with carriers and freight brokers, and track orders throughout the fulfillment process. Work with operations to align customer demand, inventory availability, production schedules, and shipping requirements. Maintain accurate order, inventory, batch traceability, shipment, and operational records using ERP systems and spreadsheets. Accuracy matters at every stage, from order entry and inventory records to shipment details and customer documentation.
Support sales managers by helping identify and coordinate relevant bid opportunities, gathering required information and documentation from operations, finance, safety, and other internal teams, and assisting with accurate and timely submissions through third-party bidding platforms. Maintain organized bid records and status information while balancing these responsibilities with the broader customer operations workload.
Support inventory counts, reporting, data entry, operational analysis, and process improvement efforts. Assist production, warehouse, laboratory, and other teams as needed to keep customer orders and daily operations moving efficiently.
Qualifications
High school diploma, GED, or equivalent required. Three or more years of experience in customer service, order management, operations, logistics, manufacturing support, supply chain, distribution, or a related field is preferred. Experience with freight coordination, shipping, transportation, bids, RFPs, RFQs, or public solicitations is a plus.
Candidates should demonstrate exceptional attention to detail, accuracy, follow-through, organization, time management, and problem-solving ability. Experience with ERP systems, NetSuite, inventory management systems, Microsoft Excel, Outlook, Word, and Teams is preferred. The successful candidate must be able to manage competing deadlines, learn new systems quickly, communicate effectively across departments, and consistently maintain accuracy in a fast-paced manufacturing environment.
