Customer Service & Operations Coordinator

The Customer Service & Operations Coordinator is responsible for managing daily counter operations, ensuring smooth coordination of gate activities, and providing timely support to customers and hauliers. This role requires strong attention to detail, effective communication skills, and the ability to handle operational documentation and system updates efficiently.

Key Responsibilities:

  • Verify drivers’ and trucks’ details, including booking and release references, as well as CMS bookings.
  • Create, check, and issue Equipment Interchange Receipts (EIRs) for both in-gate and out-gate movements, ensuring accurate recording of tank numbers, size/type, and condition.
  • Confirm tank holds and releases, ensuring tanks are in AV condition with valid cleaning certificates prior to gate movements.
  • Respond promptly to customers’ storage and release orders via email.
  • Create and process storage and release orders in the CMS system.
  • Prepare and send daily inventory reports to designated customers.
  • Update release order details in shared folders to facilitate the arrangement of cleaning certificates and hydrotests.
  • Collect DHC/EFS charges from hauliers via PayNow and generate daily collection reports.
  • Maintain accurate documentation and ensure proper filing of all operational records.

Requirements:

· Minimum diploma or relevant experience in customer service or operations coordination.
· Familiarity with logistics or container/tank operations will be an advantage.
· Proficient in Microsoft Office and operational systems (e.g., CMS).
· Strong attention to detail and ability to multitask in a fast-paced environment.
· Good communication and interpersonal skills.

Working Conditions:

· Based at operations counter/site office.
· May require coordination with drivers, hauliers, and internal teams on a daily basis.
