Customer Service Specialist
Join Xeltis, a medtech company pioneering restorative cardiovascular therapy. Using Nobel Prize-winning science, we develop vascular implants that enable the body to create its own living, long-lasting tissue and transform the lives of hemodialysis and cardiovascular patients.
We're now moving from clinical milestones into commercial launch, and that's where you come in. As our Customer Service Specialist, you're the operational heart of that launch and one of the people who keeps patients safe.
What you'll do
You're the first point of contact for our customers, distributors, hospitals and clinicians, and you make sure everything behind an order runs smoothly.
Own customer relationships day to day and give professional, timely answers on products, orders, pricing, availability and delivery.
Run orders end to end in our ERP: entry, fulfilment, invoicing, revenue booking and clean documentation.
Coordinate shipments, urgent requests and backorders with logistics, warehouse and Supply Chain, and prepare export paperwork for international deliveries.
Act as the front-line intake for product complaints: capture them, escalate them to Quality within defined timelines, and support the follow-up. In a medical device company, this is real patient-safety work.
Handle returns, replacements and credits from first contact to closure.
Work shoulder to shoulder with Sales, Quality, Regulatory, Supply Chain and Finance.
What you bring
2 to 5 years in customer service, order management or customer operations.
Fluency in an ERP system.
Sharp attention to detail: you catch the error on line 12 before it ships.
Calm under pressure, with the ownership to keep three urgent things moving without dropping the fourth.
Fluent English. Other European languages (German, Spanish, Dutch) are a real plus.
Bonus: experience in medical devices, pharma or another regulated industry, or familiarity with ISO 13485 or EU MDR.
Why you'll love it here
Cutting-edge purpose: work on devices built on Nobel Prize-winning science that genuinely change patients' lives.
Room to grow: a broad, high-ownership role in a company scaling its commercial organisation, with clear paths to develop.
An international team: around 65 people and 23+ nationalities, informal, collaborative, low on bureaucracy.
Real culture: we live our values (Innovate, Listen, Act, Grow, and Work with joy), and yes, that includes properly good team events.
