Customs Affairs & Sales Admin Specialist

Key Responsibilities:

1.Sales Support

Process sales orders, track order status, and coordinate logistics and shipment arrangements. Prepare commercial invoices and other sales documentation, and follow up on accounts receivable.

2.Customs and Logistics Coordination

Handle the preparation and submission of the full set of import and export customs clearance and declaration documents. Ensure that all operations comply with Singapore’s import/export regulations and relevant industry compliance requirements. Coordinate daily matters with freight forwarders, customs brokers, and warehouse service providers.

3.Administrative Liaison and Daily Operations

Act as the administrative contact point in Singapore, handling routine communications and administrative matters with local government authorities, banks, office buildings, and related parties.

4.Compliance and Documentation Management

Properly maintain all customs, sales, and administrative records and documents to ensure accuracy, completeness, and compliance. Assist in preparing data and supporting documents for various business reports.

Qualifications:

1.Education

Diploma or above in International Trade, Logistics Management, Customs and International Freight, Business Administration, or a related field.

2.Work Experience

At least 2 years of relevant work experience. Familiarity with Singapore import/export customs procedures, customs declaration requirements, inspection rules, and documentation preparation is required. Experience in sales support, order processing, or general administration is preferred.

3.Core Competencies

Strong knowledge of Singapore customs regulations and hands-on customs clearance operations, with the ability to handle clearance matters independently. Excellent multitasking and document management skills, with strong attention to detail and accountability. Good service mindset, communication skills, and problem-solving ability, with the capacity to coordinate effectively with internal and external stakeholders.

4.Language Skills

Excellent written and spoken Chinese and English, with the ability to accurately handle bilingual sales and customs documents and serve as an administrative liaison with local institutions and the China headquarters through emails and formal written communications. Proficiency in Microsoft Office, especially Excel, is required.
