Summary

Maintain accurate student records, timetables, and funding data for a UK college, ensuring compliance and supporting audits and reports.

Full Time, Permanent
Get the data right. Keep records moving. Help the college deliver with confidence.

Good college data matters.

It helps students get onto the right course. It helps curriculum teams plan and deliver. It supports timetables, registers, funding claims, audits, reports and decisions.

As our Funding and Data Officer, you’ll help make sure that information is accurate, compliant and up to date.

You’ll support the administration of timetabling, registers, student records and course data across the college. You’ll work with curriculum teams, MIS colleagues and managers to process information, resolve queries, produce reports and support funding and audit activity.

This is a role for someone who enjoys detail.

You’ll need to be accurate, organised and confident using systems. You’ll work with data, deadlines and people, so clear communication and good judgement matter. You’ll also need to stay calm during busy periods, including enrolment, reporting and audit activity.
  • Collect, input and process timetabling and register data accurately.
  • Support timetable changes, register administration and room-use activity.
  • Liaise with curriculum teams to resolve timetable, register and accommodation queries.
  • Maintain accurate student and course records using college systems.
  • Process course changes, fee adjustments and enrolment-related information.
  • Support funding and compliance checks, including DSAT, SCORE and related reports.
  • Prepare and maintain audit evidence and primary documents.
  • Support ILR and related funding claim activity where required.
  • Produce regular and ad-hoc reports for managers and teams.
  • Identify and resolve data errors, escalating issues where needed.
  • Support key enrolment dates and wider college activity.
  • GCSE English and maths at Grade C/4 or equivalent, or willingness to achieve within an agreed timeframe.
  • Level 2 administration qualification or equivalent.
  • An IT qualification, or relevant experience using digital systems.
  • Experience working with administrative systems, data or records.
  • Strong attention to detail and accuracy.
  • Good organisation and the ability to manage deadlines.
  • Confidence using Microsoft Office, especially Word and Excel.
  • Experience using databases or management information systems.
  • Awareness of funding, audit or compliance requirements would be helpful.
  • Experience with EBS timetabling or register administration would be an advantage.
What you’re like
  • Accurate. You know that detail matters.
  • Organised. You keep records, reports and deadlines under control.
  • Analytical. You can spot errors, patterns and inconsistencies.
  • Reliable. People can trust you to follow processes and complete work properly.
  • Calm. You stay focused when workload increases.
  • Proactive. You use initiative to resolve issues and keep things moving.
  • Collaborative. You work well with curriculum teams, MIS colleagues and managers.
  • Confidential. You handle student and college information carefully.
Essentials
  • You’ll need an enhanced DBS check. If you get the job, we’ll do this for you.
  • You’re committed to safeguarding and inclusion.
  • You can travel across college sites when required.
  • You’re willing to work flexibly, including occasional evenings, weekends or bank holidays when college activity requires it.
  • You’re committed to ongoing professional development and role-related training.
  • You’ll follow college policies, including health and safety, data protection, freedom of information, sustainability and equality and diversity.
This is the kind of role that helps the college work properly.

Accurate records, reliable reports and compliant data make a difference every day. They support students, curriculum planning, funding, audit and the decisions that help the college run well.

At Wigan & Leigh College, you’ll be part of a team that connects information, systems and people. You’ll work with colleagues across the college and help make sure the data behind delivery is accurate, timely and trusted.

If you enjoy detail, systems, problem-solving and making sure things are right, this is a role where your work will matter.
