Data Monitoring Support Coordinator

We are looking for a ​Data Monitoring Support Coordinator​ on behalf of the European Space Agency (ESA) for their location in ​Frascati​, Italy.

Please note that this position provides 50% support for ESA and 50% support for ATG corporate applications.

Please note, the successful candidate will be employed by ATG Europe (or one of its subsidiaries). Furthermore, upon selection, they will be subject to a general security screening performed by an external provider (further information will be provided at interview stage).

The successful candidate will be tasked with, but not limited to:

ESA-Related Tasks:

  • Maintain and distribute reporting templates to participating ESA establishments;

  • Coordinate reporting deadlines and reporting schedules;

  • Liaise with designated communication focal points within ESA establishments and offices;

  • Monitor receipt of reporting contributions;

  • Collect communication activity summaries and statistics provided by ESA establishments;

  • Consolidate submitted information into a single reporting format;

  • Harmonise terminology, formatting and presentation standards;

  • Ensure consistency with Agency communication and branding guidelines;

  • Prepare consolidated Agency reports using the reporting categories agreed by ESA;

  • Cover, where applicable, media relations, digital activities, outreach activities, Member State activities, exhibitions and model activities, and merchandise and publication distribution;

  • Include additional communication activities or special projects, where requested by ESA;

  • Prepare quarterly reporting presentations;

  • Produce summary graphics and charts based on information supplied by participating establishments;

  • Prepare executive summaries highlighting significant communication activities reported during the period.

ATG-Related Tasks:

  • Business Intelligence and Dashboard Development:

    • Identify and structure data to provide actionable insights for stakeholders;

    • Design, develop, and maintain BI dashboards and visualizations in Power BI;

    • Create interactive dashboards to make complex data accessible for decision-making;

    • Collaborate with stakeholders to define KPIs and metrics for performance and efficiency tracking.

  • Data Analysis and Reporting:

    • Conduct in-depth data analysis to identify trends, patterns, and anomalies that impact business processes;

    • Generate regular and ad-hoc reports to provide insights into process performance, financial metrics, and other business outcomes;

    • Use statistical analysis and data modelling techniques to support strategic process improvement initiatives.

  • Continuous Improvement and Innovation:

    • Stay updated on best practices and emerging trends in BI, data analysis, and process optimization to bring innovative solutions to the organization;

    • Evaluate and recommend new tools, methodologies, and techniques to improve data analysis, reporting, and process efficiency;

    • Foster a data-driven culture, promoting continuous improvement in both analytics and business processes.

  • Project support:

    • This role also requires temporary assignment to projects run within ATG or ATG clients.

  • Bachelor's degree in Communications, Marketing, Business Administration, Data Analytics, Public Relations, or a related field;

  • At least 3 years of relevant experience;

  • Experience in communications, reporting, stakeholder engagement, outreach monitoring, or corporate communications;

  • Experience in developing reporting frameworks, KPIs, dashboards, or performance measurement systems;

  • Experience coordinating information from multiple stakeholders and consolidating inputs into management-level reports;

  • Demonstrated experience supporting communication campaigns, outreach activities, events, or public engagement initiatives;

  • Experience with data visualization and reporting tools (e.g. Power BI, Tableau, Looker Studio, Power Query);

  • Advanced proficiency in Microsoft Excel, PowerPoint, and SharePoint, including the ability to create advance-level presentations, dashboards, charts, and management summaries;

  • Ability to liaise effectively with multiple stakeholders;

  • Strong stakeholder engagement and consensus-building skills;

  • Ability to translate complex information into clear and concise reports for management audiences;

  • Familiarity with branding and corporate communication guidelines;

  • Highly organised and detail-oriented;

  • Strong planning and prioritisation skills, as well as analytical and reporting skills;

  • Proactive approach to problem-solving;

  • Ability to manage multiple deadlines and reporting cycles simultaneously;

  • Experience working in international organisations, institutional environments, or public-sector communications;

  • Experience working with distributed communication networks across multiple sites or countries;

  • Knowledge of the space sector, scientific organisations, or European institutions is a strong asset;

  • Candidates must be eligible to live and work in the EU;

  • Fluency in English, both written and spoken.
