As the Remote Dental Insurance & Revenue Cycle Virtual Assistant, you will play a key role in ensuring patients are financially prepared before their appointments while supporting the clinic's daily insurance and administrative operations.

Insurance Verification & Prior Authorizations
- Verify Medicaid and private insurance benefits at least two (2) days before scheduled patient appointments.
- Review insurance eligibility, deductibles, co-pays, limitations, and benefit coverage.
- Document complete insurance benefit breakdowns accurately within the practice management system (Dentrix or similar EHR/EMR).
- Process and submit prior authorizations before patient visits.
- Navigate multiple insurance portals to verify eligibility and resolve insurance-related concerns.
- Troubleshoot insurance issues and communicate updates to the appropriate team members.
Revenue Cycle & Payment Support
- Post insurance and patient payments accurately into the practice management software.
- Maintain accurate patient account balances.
- Support revenue cycle workflows by ensuring insurance information, payments, and documentation remain current and accurate.
- Help minimize payment delays caused by missing insurance information or authorization issues.
Patient Communication
- Answer patient billing and insurance-related inquiries professionally through the clinic's phone system (RingCentral or similar platform).
- Transfer calls to the appropriate team members when necessary.
- Explain insurance benefits and patient financial responsibilities in a professional and patient-friendly manner.
Administrative Support
- Conduct patient recall and reactivation outreach during available time.
- Support administrative tasks across both office locations.
- Prepare and submit daily End-of-Day (EOD) reports summarizing completed work.
- Communicate proactively with the doctor and office staff regarding workflow updates or issues.
- Follow HIPAA-compliant procedures when handling patient information, insurance details, and payment records.
Requirements
Experience Requirements
- Previous experience with U.S. Medicaid and private insurance verification is required.
- Hands-on experience processing prior authorizations is required.
- Experience reviewing and documenting insurance benefit breakdowns is required.
- Experience supporting revenue cycle management, insurance billing, or payment posting is highly preferred.
- Previous experience in a dental practice is preferred but not required.
- Candidates with medical virtual assistant or healthcare administrative experience are encouraged to apply.
- Experience using Dentrix is highly preferred; candidates with experience using similar dental or medical EHR/EMR systems are also welcome.
- Healthcare backgrounds such as Medical Assistant, Registered Nurse, or other clinical experience are preferred but not required.
- Previous virtual assistant experience is preferred but not mandatory.
Deal Breakers (Must-Have Qualifications)
- Excellent English communication skills with a clear, professional speaking voice, as you will communicate directly with patients and insurance representatives.
- Hands-on experience with Medicaid and private insurance verification, including prior authorizations and insurance benefit breakdowns.
- High attention to detail and accuracy, particularly when entering insurance information, posting payments, and maintaining patient records in Dentrix or a similar EHR/EMR system.
- Ability to work independently with minimal supervision while remaining organized, proactive, and accountable.
- Strong understanding of HIPAA compliance and patient privacy, with the ability to securely handle sensitive patient and financial information.
- Reliable remote work setup, including a quiet, distraction-free workspace and dependable high-speed internet.
- Professionalism, reliability, and accountability, with consistent attendance, responsiveness, and timely completion of assigned responsibilities.
- Willingness to use productivity monitoring tools (including keyboard and mouse activity tracking) and provide accurate daily End-of-Day reports.

- Willing to submit an NBI Clearance and/or Local Police Clearance before onboarding.
