About the Role
Première Urgence Internationale (PUI), a non-governmental, non-profit international aid organization, is seeking a Deputy Grants Manager to guarantee full compliance with donor contractual obligations while overseeing the end-to-end cycle of analytical reporting, from data collection and internal validation to final submission. The role also involves supporting project proposal development, coordinating document distribution between HQ and field missions, and strengthening external communication and donor visibility.
Key Responsibilities
- Coordinate reporting processes from launch to donor submission
- Ensure timely submission of financial and narrative reports and required annexes
- Coordinate country office report review stages and respond to donor questions
- Contribute to data collection for report preparation, liaising with field teams
- Ensure reporting templates comply with official donor formats
- Ensure field teams have final versions of proposals, reports, budgets, and contracts
- Review report content for consistency, accuracy, and compliance with objectives
- Coordinate internal monthly reporting and archive latest report versions
- Coordinate contractual follow-up (Cost Extension/No Cost Extension requests)
- Support project proposal development and donor guideline understanding
- Participate in budget development monitoring for new and ongoing proposals
- Contribute to funding opportunities watch
- Lead kick-off meeting preparation and internal meeting documentation
- Update grants tools (e.g. Grants follow-up) and reporting schedules
- Ensure compliance with donor communication and visibility requirements
- Oversee success stories process and maintain communication planning
- Consolidate communication reports and manage the project photo/video library
- Prepare mission presentation documents and support authority reporting
- Represent PUI at humanitarian coordination meetings as required
Requirements
- Degree in Project Management, Political Sciences, International Development, Public Administration, Business, Social Science, or related field (or equivalent professional experience)
- At least 2 years' experience in a similar role or related areas within an international NGO
- Excellent writing, editing, and interpersonal communication skills in English (local languages a plus)
- Experience creating communication products (articles, success stories, etc.)
- Excellent computer skills (Word, Excel, PowerPoint, Project, database management)
- Strong organization, priority management, and deadline management skills
- Adaptability and ability to manage multiple tasks
- Strong presentation, communication, and stress-resilience skills
