Deputy Manager - HR
Key Responsibilities
1. Physical Onboarding & Employee Experience
- Ensure complete documentation for new joiners during physical onboarding
- Coordinate IT, Admin, and access-related checks for new employees
- Conduct team and site introductions on Day 1
- Provide on-ground support to ensure a smooth joining experience
2. Employee Engagement & Events
- Identify, onboard, and coordinate with vendors for employee engagement initiatives
- Share event-specific communications with employees and stakeholders
- Organize and execute engagement events as per the annual engagement calendar
- Support BU-specific engagement initiatives as required
3. Stakeholder Management & Liaisoning
- Coordinate and support official visits, audits, and inspections
- Prepare reports, notes, and documentation for official or leadership visits
4. Documentation, Recording & Reporting
- Maintain accurate records, trackers, and reports related to HR and admin activities
- Ensure timely documentation and reporting as per organizational standards
5. Kronos Management (Contract Workforce)
- Onboard and offboard contractors on the Kronos platform
- Record and monitor off-roll employee time and attendance data
- Coordinate with vendors and internal teams to resolve attendance discrepancies
6. Compliance Support
- Perform tasks and updates on the Legatrix platform
- Manage, track, and report contractor licenses and statutory documents
- Receive, document, and report legal notices to concerned stakeholders
- Support audits and compliance reviews as required
7. HR Administration & On-Ground Support
- Provide on-ground support for HR operations and daily GCC HR tasks
- Assist HR Ops team with administrative and coordination activities
- Support employee queries related to HR processes at site
8. Incident Handling & Reporting (Shared with BU)
- Record and report formal complaints and workplace incidents
- Coordinate discussions and documentation for investigations in severe or sensitive cases
- Ensure confidentiality and adherence to company policies during incident handling
Skills & Competencies
- Strong knowledge of HR operations and administrative processes
- Experience in contractor and compliance management
- Good understanding of attendance and workforce management systems (Kronos preferred)
- Strong coordination, communication, and stakeholder management skills
- High attention to detail and documentation accuracy
- Ability to handle sensitive information with confidentiality
- Proficient in MS Excel, MS Word, and HR systems
Education & Experience
- Bachelor’s degree in HR, Administration, Business Management, or related field
- 3–10 years of experience in HR Operations, Admin, or Site HR roles (experience range may vary)
