Position Summary
The Development & Asset Coordinator provides administrative, operational, and project coordination support for the Development Department of the Colorado Springs Housing Authority (CSHA). This position is responsible for coordinating asset management activities, maintaining regulatory and corporate compliance documentation, supporting real estate development projects, managing procurement of professional services, maintaining development records, and assisting with financial, insurance, and construction documentation throughout the development process.
The Development & Asset Coordinator serves as a pivotal point of coordination for multiple projects simultaneously while ensuring that organizational records are accurate, complete, and maintained in accordance with applicable federal, state, and local requirements.

Essential Duties and Responsibilities
Asset Management & Compliance
- Coordinate and monitor Proposition 123 program requirements, reporting deadlines, compliance documentation, and communications.
- Maintain an accurate inventory of company assets and equipment.
- Coordinate periodic verification and reconciliation of asset inventory.
- Assist with the tracking and documentation of capital assets.
Corporate Compliance
- Prepare and submit initial and annual Colorado Secretary of State Periodic Reports for applicable CSHA entities.
- Maintain corporate records and ensure filings remain current.
- Track filing deadlines and notify leadership of upcoming compliance requirements.
Real Estate Administration
- Serve as the Development Department's real estate license holder, maintaining all required licensure and regulatory compliance.
- Coordinate documentation required by lenders, financial institutions, title companies, and other financing partners throughout real estate transactions.
- Maintain project due diligence files and transaction records.
Procurement & Contract Administration
- Coordinate procurement of professional services including consultants, engineers, architects, surveyors, environmental professionals, appraisers, and other development-related services.
- Prepare Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and solicitation documents as assigned.
- Assist with contract execution and maintenance of procurement records.
- Ensure procurement activities comply with applicable federal, state, local, and CSHA procurement requirements.
Construction Document Management
- Maintain construction drawing logs and revision histories.
- Coordinate distribution of construction drawings and document updates.
- Scan, organize, digitally archive, and preserve all construction blueprints and historical development documents.
- Maintain electronic filing systems for current and completed development projects.
Administrative Coordination
- Coordinate department records management and document retention.
- Maintain development files in accordance with record retention requirements.
Insurance & Financial Coordination
- Assist the Deputy Director with annual property and asset insurance renewals.
- Coordinate insurance documentation requested by lenders, contractors, consultants, and regulatory agencies.
- Track certificates of insurance and related documentation as needed.
Project Support
- Assist with development project scheduling and tracking.
- Coordinate meetings with consultants, contractors, and development partners.
- Prepare reports, correspondence, presentations, and project documentation.
- Maintain confidential information with discretion.
- Perform other duties as assigned.
