Document Control Assistant (ISO Documentation)

Job Summary

You will manage and control company documents and records to support ISO compliance, ensuring accurate filing, version control, and distribution while providing administrative support to maintain smooth office operations.

Responsibilities

  • Maintain and control company documents following document control procedures to ensure compliance and accuracy
  • Organize, file, and maintain both electronic and hardcopy records for easy retrieval and audit readiness
  • Ensure documents are properly numbered, version-controlled, and updated to reflect current information
  • Distribute and retrieve controlled documents to and from relevant departments to maintain workflow continuity
  • Archive obsolete documents and maintain document revision records for historical reference
  • Prepare, scan, copy, print, and compile documents as required to support departmental needs
  • Follow up with departments to collect completed forms and records to ensure documentation completeness
  • Maintain document registers and verify that records are complete and up to date for management review
  • Assist in preparing documentation for management review and compliance audits to support ISO standards
  • Support the implementation and maintenance of the company’s ISO documentation system to uphold quality management
  • Perform data entry and maintain accurate documentation records to ensure data integrity
  • Assist with general administrative and clerical duties as assigned to support daily office operations

Preferred competencies and qualifications

  • Prior experience in document control or administrative work is an advantage
  • Proficient in Microsoft Office applications (Word, Excel, Outlook) to efficiently manage documents and communications
  • Good organisational and filing skills with strong attention to detail to maintain orderly records
  • Able to manage documents accurately and maintain confidentiality to protect sensitive information
  • Responsible, organised, and able to work independently to meet deadlines and support team needs
