Job Summary:
The Document Controller – Interior Fit-Out is responsible for managing and maintaining all project-related documentation, ensuring accurate recording, distribution, tracking, and archiving of drawings, technical submissions, approvals, correspondence, and project records. The role ensures smooth document flow between project teams, consultants, clients, subcontractors, and suppliers while maintaining compliance with company and project procedures.
- Manage and maintain project document control systems for interior fit-out projects.
- Receive, register, distribute, and track all incoming and outgoing project documents.
- Maintain document registers, transmittals, drawing logs, and approval trackers.
- Control and issue drawings, shop drawings, material submittal, RFIs, method statements, and technical documents.
- Ensure the latest approved drawings and documents are available to project teams.
- Coordinate with consultants, clients, subcontractors, suppliers, and internal departments for document submissions and approvals.
- Monitor document status and follow up on pending approvals and comments.
- Maintain proper filing systems (digital and hard copy) for project records.
- Upload and manage documents through platforms such as Aconex, BIM 360, SharePoint, or similar systems.
- Prepare project reports related to document status, submissions, and approvals.
- Ensure compliance with document control procedures and ISO quality standards.
- Assist project teams during audits, inspections, and project handover by providing required documentation.
- Maintain records of as-built drawings, operation & maintenance (O&M) manuals, warranties, and handover documents.
- Ensure confidentiality and proper handling of project information.
