Skills

1. Establishing the Document Control System (Project Mobilisation)

Prepare and maintain the DMP/Information Management Plan, covering classification, coding rules, metadata, responsibility matrix, approval workflow and time limits, and distribution matrix. Establish the coding and naming convention (typically ISO 19650 Originator–Volume–Level–Type–Role–Number) and the approval status code system (e.g. A/RWNC, B/RWC, C, D, UR, I/INFO), mapped one-to-one to system status fields and reporting definitions. Prepare the MDR template and all registers: drawing, submission (MAR/MSRA/shop drawings), RFI, correspondence, transmittal, subcontractor submission, and as-built documentation logs. Define vendor/subcontractor submission instructions: file naming, formats (PDF/A, native editable, DWG, IFC), version marking, clouding and revision-triangle requirements, fonts and title-block standards.

2. Platform Configuration and Daily Operation (Thinkproject)

Responsible for Thinkproject configuration and daily operation; see Section 5.

3. Receipt, Registration, Distribution and Archiving

Receive, validate, register, number and distribute all incoming documents, ensuring every document has a number, destination and acknowledgement. Perform compliance checks on all outgoing transmittals (coding, revision, attachments, approvals, format); return non-conforming documents. Manage drawing status transitions and publication (For Coordination / For Review & Approval / Construction Issue IFC / As-Built), ensuring the site holds the latest valid revision and superseded versions are marked and quarantined. Maintain dual-track paper and electronic archiving.

4. Approval Workflow Tracking and Time-Bar Control

Track every submission’s approval routing end-to-end; issue early warnings against contractual review periods (e.g. 14/21 days); follow up and escalate overdue submissions. Maintain comment closure: convert Owner/PMC comments (Rev 01/02/03) into trackable rectification items and follow responses and re-submissions until Approved / Approved as Noted. Produce weekly/monthly document status reports: submitted, approved, returned, overdue, first-time-approval rate, and backlog by area and discipline, feeding project weekly meetings and PMC monthly meetings.

5. Correspondence, Meetings and Communication Records

Manage numbering, signature-authority verification, registration and archiving of formal correspondence; ensure outgoing letters are signed by authorised signatories and fully traceable. Manage RFIs/technical queries: initiation, numbering, response deadlines and closure, preventing undocumented verbal answers. Own numbering, distribution and action-item tracking for weekly, monthly and ad-hoc meeting minutes.

6. Vendor and Subcontractor Document Interfaces

Issue Thinkproject external accounts on a least-privilege basis; deliver training and brief vendors/subcontractors on submission standards. Manage the Vendor Document Schedule (VDS/SDRL) and due-date reminders; coordinate engineering and procurement review of vendor documents. Assess subcontractor submission quality and feed results into monthly evaluation and payment certification.

7. Quality, HSE, Commissioning and Handover Documentation

Manage quality records: numbering and archiving of ITPs, inspection requests (RFI/WIR), NCRs, MTCs and test reports. Manage commissioning and handover documents: pre-commissioning/commissioning records, performance test reports, punch/snagging lists, DLP defect tracking, and supporting packages for TOC/PAC/FAC. Organise as-built and digital handover, compiling volumes as required by the Owner and ensuring documentation is generated in step with physical works rather than retrofitted after completion.

8. Permissions, Compliance and Information Security

Maintain the permission matrix: assign access and action rights by role, organisation, area and discipline; external parties see only their authorised scope; periodically review and revoke accounts of leavers/demobilised staff. Ensure audit traceability: all uploads, edits, approvals and distributions are logged, with audit trails exportable on demand for Owner audits or disputes. Execute backup and retention policies in line with the contract, local regulations and corporate information-security policy, including management of confidential/restricted-distribution documents.

9. Training and Continuous Improvement

Deliver Thinkproject training to project staff, subcontractors and vendors by role (submitter, approver, administrator); produce user guides and FAQs. Periodically audit data quality (coding violations, duplicate files, empty fields, version confusion), issue rectification lists and drive closure. Capture lessons learned and feed the company’s regional platform standardisation and future bids.
