The Opportunity

OCU Energy is looking for a proactive and detail-oriented Document Controller to support the effective management, control and distribution of project information across its Engineering, Procurement and Construction (EPC) projects.

Working within a fast-paced, multidisciplinary environment, you will play a key role in maintaining accurate project records, managing document workflows and ensuring information is controlled, traceable and accessible throughout the project lifecycle, from design and construction through to commissioning and final handover.

A key focus of the role will be acting as an ACC Forma Super User, supporting system administration, project set-up, user access, workflows and training to promote consistent information management practices across OCU Energy. Working closely with project teams, clients, consultants and contractors, you will help maintain compliance with contractual requirements, OCU procedures, ISO 9001 and ISO 19650, while contributing to the continuous improvement of digital systems and document control processes.
  • Upload, register, review, distribute and archive project documentation and drawings using Viewpoint for Projects, ProjectWise, ACC Forma, SharePoint and other approved EDMS and CDE platforms.
  • Maintain accurate document registers, including Master Document Registers (MDRs), transmittal and incoming information registers, ensuring correct document numbering, metadata, revision control and secure archiving of superseded information.
  • Act as an ACC Forma Super User, supporting project set-up, configuration, templates, folder structures, metadata, workflows, user access, permissions and system administration.
  • Provide first-line technical support, troubleshoot system issues and deliver training, guidance and user instructions to promote consistent and effective use of ACC Forma and other information management systems.
  • Ensure document control processes comply with ISO 9001, ISO 19650, OCU procedures, contractual requirements, project Information Management Plans (IMPs) and Employer’s Information Requirements (EIR).
  • Conduct information checks and audits, maintain accurate audit trails, identify non-conformances and escalate document control issues, information risks and access concerns.
  • Liaise with project teams, clients, consultants, contractors and suppliers to coordinate document submissions, information exchanges, reviews, approvals and outstanding actions.
  • Produce regular reports on document status, overdue submissions, review workflows, information completeness and compliance, supporting project delivery and management decision-making.
  • Support project mobilisation, system configuration and information migration, ensuring document integrity, metadata, revision history and traceability are maintained.
  • Coordinate the collation, validation and controlled issue of construction, commissioning, as-built, Operations and Maintenance (O&M) and final handover documentation, contributing to continuous improvement across Document Control processes.
Essential Skills
  • Proven experience in Document Control within design, construction, engineering, energy or infrastructure projects, with an understanding of documentation requirements throughout the project lifecycle.
  • Practical experience managing technical documentation, drawings, registers, transmittals, revision control, review workflows, submissions and document handover.
  • Experience using Electronic Document Management Systems (EDMS) and Common Data Environments (CDEs), ideally including Viewpoint for Projects, Autodesk Construction Cloud (ACC) Forma and SharePoint, with the ability to operate as an ACC Forma Super User.
  • Good understanding of ACC Forma administration, including project set-up, user permissions, folder structures, metadata and workflows, alongside proficiency in Microsoft Office applications.
  • Excellent attention to detail, organisational and communication skills, with the ability to support users, manage competing priorities, maintain accurate records and meet project deadlines.
Desirable Skills
  • Strong understanding of ISO 9001 and ISO 19650 and their application to document control, quality assurance and information management on construction and engineering projects.
  • Advanced or administrator-level training in ACC Forma, with experience developing standardised templates, workflows, procedures and user training materials.
  • Experience with additional platforms such as Aconex, ASITE, ASSAI or ProjectWise, including CDE mobilisation, system administration or information migration.
  • Familiarity with Building Information Modelling (BIM), CDEs, information exchange workflows, document control audits and project handover requirements.
  • Experience supporting EPC energy, Battery Energy Storage System (BESS), renewable energy or major infrastructure projects, alongside a recognised qualification or formal training in Document Control, Information Management or a related discipline.
