Document Controller
Document Management:
Establish and maintain a document control system for all project documentation.
Ensure all documents are accurately recorded, categorized, and stored in the document management system.
Control the distribution of documents to ensure that all stakeholders have access to the correct information.
Compliance and Standards:
Ensure all project documents comply with company standards, industry regulations, and client requirements.
Conduct regular audits to ensure document integrity, accuracy, and completeness.
Implement and maintain document control procedures and guidelines.
Coordination and Communication:
Coordinate with project managers, engineers, and other team members to manage the flow of documents.
Communicate document control requirements and procedures to all project stakeholders.
Respond to document-related inquiries and provide support to project teams.
Document Tracking and Reporting:
Track the status of documents and ensure timely review, approval, and distribution.
Generate regular reports on document control activities, including document status, distribution, and compliance.
Maintain an accurate and up-to-date document register.
Training and Support:
Provide training and support to team members on document control processes and systems.
Assist in the implementation of document management software and tools.
Stay current with industry best practices and advancements in document control technologies.

Technology Advocacy & Innovation:
Proactively explore and recommend digital tools and automation solutions to streamline document control processes.
Collaborate with IT and process improvement teams to implement document management systems (DMS) and workflow automation.
Stay updated on emerging technologies relevant to document control and digital transformation.
Process Optimization:
Identify inefficiencies in current document workflows and propose data-driven improvements.
Lead or support initiatives to digitize and automate manual documentation tasks.
Develop and maintain dashboards or reports to track document lifecycle metrics and team performance.
Team Enablement:
Foster a culture of continuous improvement and innovation within the document control team.
Provide training and mentorship to team members on new tools, systems, and best practices.
Act as a change agent to drive adoption of new technologies and processes.
- A bachelor's degree in business administration, document management, and record management.
- 5-10 years of experience in document management, archive management, or records management.
- Minimum 5 years’ experience working for Middle East Projects.
- Knowledge of document management systems like Aconex , BIM 360, Unifier, Sharepoint.
- An excellent grasp of Microsoft Office programs.
- Familiarity with the relevant regulations regarding document keeping and handling.
