Could you be our new Documentation Specialist

  • Location: Houston, USA office;

  • Reporting to: Documentation Manager;

  • Department / team: Documentation – Administration;

  • Employment Type: Full-time;

  • Travel requirements: Daily travel to work;

  • Key Tech/Tools: MS Office365 Microsoft products (including Teams, Word, Excel, and Outlook); Customs and Border Patrol’s Automated Commercial Environment system, and GACagent which will be learned on the job.

What would your day at GAC look like?

As the Documentation Specialist in Houston, you'll be a part of a team who handles documentation and commercial documents for multiple principals across all sectors of the maritime industry, including but not limited to LNG, LPG, Petroleum Products, Chemical Products, Offshore and Bulk commodities, and delivering the standard of excellence that has defined our brand for generations.

  • Coordinate and file Import, Export, Electronic Notice of Arrival and Departure, and export documentation for any vessels as required.

  • Filing Export entries with Customs and Border Protection for all vessels exporting cargo as requested and required.

  • Filing vessel’s Electronic Notice of Arrival and Departure notices with the National Vessel Movement Canter for any vessel entering/departing as requested and required.

  • Assisting customers with the initial setup of acquiring a Standard Alpha Carrier Code as well as coordinating with our software provider for the setup of filing on their behalf.

What are we looking for?

  1. Minimum two years (2) of data entry experience is required working with AES, AMS and eNOA/Ds. Experience in generating both Bills of Lading and Certificates of Origin.

  2. Import/export knowledge and Maritime experience are preferred.

  3. Technical Skills: Proficiency in MS Office (especially Teams, Excel, Word, and Outlook), basic IT skills.

Soft skills:

  • Attention to Detail – Meticulous in reviewing documentation, assuring all documents created are reviewed internally and presented to the client for approval.

  • Organizational Skills – Able to manage multiple tasks and requests simultaneously without losing track of deadlines, documentation, or follow-ups.

  • Problem-Solving – Ability to work with customers in different time zones to assure documentation is reissued when requested promptly, sometimes outside of regular business hours.

  • Adaptability – Comfortable operating in a fast-paced, ever-changing environment where priorities can shift with little notice.

  • Team Collaboration – Works effectively across GAC offices, agent networks, and internal teams, contributing to a culture of shared accountability and mutual support.

  • Communication Skills – Able to effectively and clearly communicate thoughts and ideas, using appropriate language and grammar.
