DUI COORDINATOR - Bilingual
Position Summary: Provide coordination for fast-paced, customer focused DUI Program. Oversees effective delivery of education services, having the day-to-day responsibility for the supervision of counselors, administrative assistants and participant activities. Ensures compliance with DUI program policies, procedures and Title 9 regulations. As needed, provides group, individual counseling, education classes, orientation and individual appointments. Additionally, oversees the processing of attendance, billing, runs and submits reports for approval and ensures that all client services are delivered with the highest customer service standards in mind.
We have opening for this position at two locations; Brentwood and Pittsburg, CA.
Essential Duties and Responsibilities
I. ADMINISTRATIVE DUTIES
Oversees maintenance of individual client files, group rosters, and group notes.
Ensures program compliance and supports clients towards successful program completion as directed in accordance with Title 9.
Ensures coverage for all DUI groups and activities, maintains on call counselor list and provides direct service as needed, if coverage cannot be found.
Ensures monthly financial and census goals are met.
Accurately performs the functions of data entry, data management, and report generation in Compliance Manager database.
Ensures monthly billing and quarterly DHCS reports are completed and submitted for DUI Director approval & submission.
Provides resources and training to counselors on implementation of materials.
On a daily basis, processes group books and attendance rosters, while ensuring that the administrative team processes documentation and checks Title 9 compliance.
Creates collaborations with key stakeholders including the courts, DMV & lawyers to ensure program visibility.
Provides ongoing training and staff development to the DUI team via weekly administrative team meetings and all DUI staff meetings every two months.
Track and approve DUI program payroll, ensuring that total clock-in hours are in alignment with pre-approved budget goals.
Ensure that OT is kept to down to maximize achievement of budget goals.
II. DIRECT SERVICES
Conducts re-reinstatements, all intakes/orientations, transfers, conversions and other client activities as needed.
As needed, facilitates educational and group counseling in addition to conducting one-hour assessments.
Ensures that the Human Rights of clients in the DUI are respected and protected and that clients are systematically made aware of their rights.
Ensures that all DUI documentation is completed in an accurate, complete and timely manner in compliance with all legal, licensing and regulatory requirements.
Ensures that all DUI records and privileged client information is kept strictly confidential in conformity with state and federal law and regulations.
III. PERSONNEL MANAGEMENT & SUPPORT
Ensures that all services are delivered in a welcoming, non-judgmental manner and in alignment with Motivational Interviewing principles.
Through policy, behavioral example and leadership establishes a DUI culture of mutual support & respect, personal responsibility & empowerment and continuing creative improvement in the DUI program.
With the oversight of the DUI Director, recruits, hires and terminates staff.
Defines staff responsibilities and performance expectations and provides quarterly professional development coaching, along with yearly performance evaluation.
Ensure that all new staff are oriented to the needs of the DUI population, the mission, philosophy and protocols of the program, related Bi-Bett services, the resources in the area and all essential organization policies.
Provides direct mentoring and coaching to DUI counselors.
VI. GENERAL & ADMINISTRATIVE
Assumes additional responsibility consistent with DUI needs and staff roles, as defined by the DUI Program Director.
VII. OTHER RESPONSIBILITIES
Attends all required trainings and administrative meetings.
Markets DUI program by presenting program highlights in various Bi-Bett programs.
Driving is required in order to attend required trainings, meetings or to fulfill other responsibilities defined in this role.
Attends and utilizes weekly coaching meetings with DUI Program Director. Brings project statuses, issues of concern and /or importance to Director for consultation. Alerts Director to potential incidents, DUI/staffing/financial problems, new DUI opportunities and DUI/staff achievements.
Participation in Agency management meetings and events, including all DUI Health & Safety responsibilities which include H&S meetings, audits, virtual and live drills, etc.
