Executive Assistant to the CEO

Your Mission

We're looking for a highly organized, proactive Executive Assistant to support our CEO and C-level team. In this role, you'll act as a trusted partner to leadership, using strong judgment, discretion, and business acumen to navigate a fast-moving environment. You bring excellent communication skills, the ability to manage competing priorities, and a proactive mindset that anticipates needs, solves problems, and keeps things moving with urgency and professionalism.


What You'll Do:

Executive Support and Partnership

  • Manage complex, ever-changing calendars for the CEO (based in Zurich) and C-level team
  • Act as a key point of contact between executives, internal teams, and external partners
  • Serve as a gatekeeper and time advocate to ensure priorities are clear and schedules run efficiently
  • Support leadership effectiveness through strong operational awareness and responsiveness
  • Coordinate CEO-related internal, customer, and partner events and workshops


Travel and Logistics

  • Coordinate domestic and international travel end-to-end, including flights and accommodations
  • Anticipate travel needs and ensure executives are fully prepared and supported


Administrative Support

  • Manage C-level expense reporting and reimbursements with accuracy and timeliness
  • Handle administrative tasks with strong organization, discretion, and attention to detail
  • Support ad hoc requests and shifting priorities as needed


Board and Leadership Coordination

  • Coordinate logistics for global board meetings, including scheduling and preparation

Requirements:

Experience

  • At least 5+years’ experience in a global EA role supporting C-suite Executives in a fast-paced environment and under pressure
  • Extensive experience of logistics management including complex schedules and international travel arrangements
  • Strong business acumen and understanding of operational priorities

Skills

  • Strong self-starter that can take a task and run with it with limited supervision from the executive
  • Adaptable and able to work with limited information and ambiguity
  • Very strong interpersonal skills, particularly with executive and senior management both internally and externally
  • Acute attention to detail and commitment to delivering excellence in a fast-paced environment
  • Polished verbal and written communication skills at all levels, including when managing requests for CEO time
  • Proven ability to independently see projects through to completion
  • Ability to think creatively with a sense of urgency and adapt quickly to changing needs and priorities
  • Computer literacy and proficiency in using the Microsoft Office Suite
  • Ability to show flexibility and responsiveness to emails/texts/phone calls.
  • Availability to perform job duties outside of normal business hours when vital.

What We're Looking For

  • 7+ years of experience supporting C-level executives in a fast-paced, global environment
  • Experience in a technology company is a plus
  • Strong ability to manage complex schedules and international travel logistics
  • Excellent communication skills with the ability to operate with discretion and professionalism
  • Highly organized, proactive, and able to manage multiple priorities with ease
  • Strong business acumen and comfort working in ambiguity
  • Advanced proficiency in Microsoft Office and standard business tools
  • Flexible, responsive, and willing to support outside of standard business hours when needed
