Overview 1. Inventory & Stock Control Track Stock Levels: Maintain accurate, real-time records of all spare parts, tools, and materials in the inventory system. Manage Reorder Points: Set and monitor minimum and maximum stock levels to prevent overstocking or stockouts of critical parts. Conduct Audits: Perform regular physical counts (cycle counts) and full stock-takes to reconcile discrepancies. Monitor Shelf Life: Track expiration dates of lubricants, chemicals, and other perishable consumables to avoid use of expired or degraded materials. 2. Material Receiving & Issuing Verify Deliveries: Inspect incoming shipments for quality, damage, and compliance against purchase orders and packing slips. Issue Parts: Dispense engineering parts and consumables to maintenance and production teams based on authorized requisitions. Track Special Tools: Issue and receive specialized engineering tools, ensuring they are returned in good, calibrated condition. Process Returns: Manage the return of unused, surplus, or defective/incorrect items to suppliers. 3. Purchasing & Supplier Coordination Support Procurement: Assist the purchasing team by identifying part specifications, lead times, and required quantities. Source Quotations: Gather quotes from vendors for standard replacement parts and consumables. Vendor Follow-up: Track delayed deliveries and coordinate with vendors to resolve supply chain issues and ensure timely availability of materials. Reporting & Systems Data Entry: Update and maintain computerized inventory and maintenance management systems (like SAP or CMMS). Management Reporting: Generate periodic reports on inventory valuation, usage, and stock challenges for department leaders. Responsibilities Inventory & Stock Management: Availability: Ensuring critical spare parts are always available to minimize unplanned equipment downtime and prevent production delays. Stock Optimization: Striking a balance between keeping necessary maintenance spares on hand and minimizing the capital tied up in inventory. Stock Accuracy: Conducting regular cycle counts and physical audits to ensure system records match on-hand quantities. Obsolescence Management: Identifying slow-moving, dormant, or obsolete items and recommending them for disposal to free up storage space. 2. Receiving & Issuing: Material Receipts: Inspecting incoming goods for damage, verifying delivery quantities against purchase orders, and logging items into the Warehouse Inventory Management System. Controlled Issuance: Managing the secure disbursement of parts, specialty tools, and consumables to maintenance technicians, properly charging these items to specific work orders or cost centers. Tool Control: Tracking specialized maintenance tools (e.g., torque wrenches, calibrated gauges), managing check-out/check-in processes, and ensuring tools remain calibrated and in good working condition. 3. Purchasing & Vendor Coordination Requisitioning: Replenishing standard stock levels by generating purchase requisitions for procurement teams. Vendor Relationships: Working alongside purchasing departments to negotiate bulk discounts, reduce costs, and maintain healthy partnerships with suppliers. Supplier Follow-ups: Tracking delivery times and expediting critical, emergency spare parts (AOG or breakdown spares) to get machinery back online faster. 4. Storage & Preservation Organized Layout: Storing goods logically in designated, labeled locations (bin locations) for quick and easy retrieval. Environmental Control: Ensuring proper environmental conditions (e.g., temperature and humidity control) for sensitive parts like bearings, electronics, and specialty lubricants. Security: Preventing theft, damage, and unauthorized access to high-value or highly critical spare components. 5. Data & Administration System Maintenance: Ensuring all material data, including part numbers, manufacturer details, and cross-references, are accurately updated in the Computerized Maintenance Management System (CMMS) or ERP system. Reporting: Providing regular reports on inventory value, stock turn ratios, and stock-out incidents to maintenance and operations management. Qualifications Bachelor of Engineering – Mechanical, Electrical or related engineering fields.( prefer) Minimum 3 years experiences in store management. Good computer literature in Microsoft office. Good command in English communication (writing, reading and speaking)
