Summary

Coordinates corporate events and manages procurement for a food and beverage company in Singapore, handling vendor negotiations, logistics, and administrative tasks.

Procurement Responsibilities

• Source and evaluate suppliers, vendors, and service providers.

• Request quotations, compare pricing, and negotiate the best terms.

• Prepare purchase requisitions and purchase orders (POs).

• Monitor inventory levels and coordinate replenishment of office and event supplies.

• Track deliveries and ensure timely receipt of goods and services.

• Maintain procurement records, supplier databases, and contract documentation.

• Coordinate with the finance department on invoices, payments, and budget tracking.

• Build and maintain strong relationships with suppliers to ensure quality, cost-effectiveness, and timely delivery.

• Ensure procurement activities comply with company policies and procedures.

Event Coordination Responsibilities

• Plan, organize, and coordinate corporate events, meetings, exhibitions, training sessions, and company functions.

• Liaise with different departments

• Prepare event budgets, schedules, and timelines.

• Coordinate event logistics, including , equipment, and transportation.

• Ensure all event materials, promotional items, and supplies are procured on time.

• Supervise event setup, execution, and dismantling.

• Resolve any issues during events to ensure smooth operations.

• Conduct post-event evaluations and prepare event reports.

Administrative Responsibilities

• Maintain accurate procurement and event documentation.

• Prepare reports on procurement costs and event expenditures.

• Coordinate with internal departments to understand purchasing and event requirements.

• Manage multiple projects and deadlines simultaneously.

• Perform other administrative duties as assigned by management.

Requirements

• Diploma or Bachelor's degree in Business Administration, Procurement, Event Management, or a related field.

• 2–5 years of experience in procurement and/or event coordination.

• Strong negotiation and vendor management skills.

• Excellent organizational, communication, and multitasking abilities.

• Proficient in Microsoft Office (Excel, Word, PowerPoint).

• Ability to work independently and under pressure.

• Willing to travel or work flexible hours when required for events.

• Prior experience in the Food & Beverage (F&B) industry is an advantage.
