Event Operations Representative
1. Site Sourcing & Business Development
Proactively source, identify, negotiate, and secure event/roadshow venues (e.g., shopping malls, exhibitions, career fairs, community events).
Maintain a forward pipeline of potential sites and secure opportunities at least 4 weeks in advance when practicable.
Build and maintain relationships with venue owners, mall management, event organisers, vendors, and business partners.
Represent the company at networking sessions, business meetings, and site discussions.
2. Site Evaluation & Analysis
Conduct site recces and on-site assessments for visibility, accessibility, footfall, and demographics.
Gather market intelligence (competitor presence, traffic patterns).
Collect feedback from the sales team regarding site performance and sales sentiment.
Analyze operational/sales data to recommend optimal site locations.
3. Event Coordination & Operations
Coordinate and support planning, setup, execution, and organization of events and roadshows.
Liaise with internal departments, clients, venue management, and vendors.
Handle and resolve on-site operational issues before, during, or after events.
4. Vendor & Administrative Coordination
Liaise with vendors and venue management regarding bookings, logistics, and operational details.
Process site-related payments and submit all receipts, invoices, and supporting documents.
Maintain accurate records of bookings, quotations, and event documentation.
5. Reporting & Continuous Improvement
Prepare, update, and analyze site reports, event reports, and tracking sheets.
Provide recommendations for future site selection and operational improvements.
Attend planning meetings and communicate site findings and updates to the sales team.
6. General Responsibilities
Represent the company professionally at all times.
Perform other related duties or projects assigned by the company.
