Event Project Manager

Oversee end-to-end planning and execution of corporate events, brand activations, and campaigns, coordinating vendors, budgets, and logistics to deliver memorable experiences.

Key Responsibilities
Event Planning & Strategy
Plan, conceptualize, and execute events based on client objectives, target audience, and business goals.
Develop creative event concepts, proposals, and strategies to enhance engagement and brand experience.
Research and stay ahead of trends in event design, entertainment, venues, and audience experiences.
Project & Operations Management
Oversee end-to-end event management, including planning, budgeting, logistics, setup, execution, and teardown.
Prepare detailed event timelines, floor plans, and checklists to ensure seamless coordination.
Source, negotiate, and manage vendors, suppliers, venues, and production partners.
Ensure all deliverables meet quality, specification, and timeline requirements.
Conduct site visits and risk assessments to ensure operational safety and compliance.
Client & Stakeholder Coordination
Act as the main liaison between clients, internal teams, and external partners.
Present ideas, proposals, and progress updates confidently to clients and stakeholders.
Maintain strong relationships with clients by understanding their needs and providing solutions that exceed expectations.
Budgeting & Reporting
Prepare, manage, and track event budgets to ensure cost efficiency and adherence to financial goals.
Handle all event documentation, including POs, DOs, checklists, and post-event reports.
Evaluate event success through feedback and data analysis to improve future execution.
Creative Collaboration & Teamwork
Collaborate with designers, marketers, and content teams to develop event visuals, themes, and marketing materials.
Lead brainstorming sessions for creative ideas, visual concepts, and experiential activations.
Be proactive and adaptable in managing last-minute changes, on-site challenges, and ad-hoc event requirements.
Requirements
- Minimum 3–5 years of experience in event management, project management, or brand activation.
- Proven track record in planning and executing large-scale events (corporate, lifestyle, or promotional).
- Strong project management and organizational skills with attention to detail.
- Excellent communication, negotiation, and client-facing abilities.
- Proficiency in Microsoft Office / Google Workspace and event management tools or software.
- Knowledge of event production processes, budgeting, and vendor management
- Ability to work under pressure, multitask, and adapt quickly to changes on-site.
- Creative thinker with a solution-driven mindset and strong problem-solving skills.
- Flexibility to work evenings, weekends, or travel as required by event schedules.
