SUMMARY
About the Role – Event Coordinator
Salary Range ($50,000-$60,000)
This position is responsible for providing administrative support to and working closely with a team of Event Managers. Duties of this position include but are not limited to maintaining calendars/meetings schedules, coordinating client arrivals, assisting in detailing event orders, coordinating with internal operations in preparations for groups, and managing group accommodations for Event Managers. The ideal candidate has a friendly demeanor, prior hotel or event experience, the ability to learn new computer programs, can multitask and complete projects in a timely manner. This person should demonstrate exceptional customer service and problem solving skills. Organizational skills, computer proficiency, and communication skills are a must.
Key Responsibilities
· Administrative support to the Event Planning Team
· Answering phones while in the office and providing guidance to clients on behalf of Event Planning Team
· Organizing internal bookings
· Assist with group resumes, event orders and floor plans as needed
· Positive collaboration with hotel departments and vendors
· Generating reports as needed
· Coordinate VIP arrivals, amenities, and special requests related to events and group business
· Assist with event billing, final account reconciliation, and post-event follow-up
· Effective management of small guestroom blocks including the understanding of group’s history and pick up performance with guidance from managers
· Build strong relationships with clients to encourage repeat business and enhance guest satisfaction
· Support hotel initiatives
· Educating customers about Hyatt’s Together by Hyatt program
