Contract: 6 months
Working hours:
Monday to Thursday: 9:00 a.m. to 5:30 p.m.
Friday: 9:00 a.m. to 5:00 p.m.

What the Role is:
We are looking for a motivated and organised individual to provide support for the planning and execution of events and activities in conjunction with the company's celebrations in November. The successful candidate will work closely with the organising team to ensure the smooth coordination and delivery of events.

Key responsibilities

1. Administrative Support

  • Provide administrative support for Bicentennial events and internal communications, including sending EDMs to keep staff informed of upcoming events

  • Prepare and format presentation slides for working committee and steering committee meetings

  • Maintain organised and up-to-date records of all documents and approval emails

2. Event & Programme Logistics

· Coordinate logistical arrangements for meetings , including booking of rooms and venues

· Facilitate security and building clearance for vendors and external parties

· Support the Bicentennial team in the day-to-day logistics and running of Bicentennial events

3. Communications Support

· Compile staff-contributed photos and well wishes for subcommittee selection

· Proofread digital wishing wall content and liaise with vendor to ensure accurate display

· Follow up with the IT team to update content on the Bicentennial page on the corporate website and intranet

4. Inventory & Record Keeping

  • Track and monitor the medallion collection, maintaining accurate and up-to-date records to ensure proper inventory management and accountability

Requirements

  • Diploma or equivalent qualification in any discipline

  • Prior experience in event coordination or administrative support is an advantage

  • Proficient in Microsoft Office applications, including PowerPoint, Word, and Excel

  • Strong organisational skills with good attention to detail

  • Good written and verbal communication skills

  • Able to commit to the full duration of the contract, including event days which may fall on weekends
