Role Overview
As a Project Executive at PIXO Events, you will play a key role in planning, coordinating, and executing events from concept to completion. You will work closely with clients, vendors, and internal teams to ensure every project is delivered smoothly, on time, and to PIXO’s high standards.
This role is ideal for individuals who enjoy a fast-paced environment, have strong attention to detail, and are eager to grow within the events industry.
Key Responsibilities
1) Event Planning & Coordination
- Assist in the planning, organization, and execution of events such as corporate functions, product launches, exhibitions, conferences, and hybrid events.
- Support the development of event concepts, timelines, and production schedules.
- Coordinate logistics including venue setup, program flow, transportation, and manpower deployment.
2) Client & Stakeholder Management
- Act as a supporting point of contact for clients to ensure their needs and expectations are met.
- Participate in client meetings, proposal discussions, and event briefings.
- Ensure clear communication between internal teams, vendors, and stakeholders.
3) Vendor & Supplier Coordination
- Source, liaise, and negotiate with vendors such as AV partners, decorators, performers, and production crews.
- Manage vendor timelines, deliveries, and on-site execution.
4) Administrative & Operational Duties
- Prepare event documentation: proposals, quotations, budgets, production schedules, and event reports.
- Support project managers in day-to-day administrative duties.
- Ensure proper procurement and tracking of project-related resources.
5) On-Site Event Responsibilities
- Assist with on-site setup, registration, rehearsals, VIP coordination, and event flow.
- Troubleshoot and resolve operational issues during events.
- Ensure all project executions align with PIXO Events’ brand quality and professionalism.
Requirements
- 1 to 2 years of working experience in the events, marketing, or related fields
(Recent graduates with strong passion for events are also welcome.) - Diploma or Degree in Events Management, Marketing, Communications, Business, or similar disciplines.
- Strong organizational skills with the ability to handle multiple projects simultaneously.
- Excellent communication and interpersonal skills.
- Ability to thrive in a fast-paced, deadline-driven environment.
- Proactive, resourceful, creative, and a strong team player.
- Willingness and availability to work outside office hours during event periods.
- Proficient in Microsoft Office; familiarity with design or project-management tools is a plus.
