We are looking for an organized, detail-oriented Event Operations Specialist to own the coordination and operational execution of SpotDraft's events. This is an inside role focused on planning, systems, and seamless delivery — you'll ensure every event, virtual or on-site, runs smoothly from the first logistics checklist to the final wrap-up.
What You'll Do
Own end-to-end operational coordination for virtual and on-site events, including scheduling, run-of-show planning, and vendor and venue coordination.
Manage platform setup and technical logistics for virtual events (Zoom, Hopin, Airmeet, Goldcast, or similar), ensuring smooth execution from setup through live delivery.
Coordinate logistics planning for on-site events — venue requirements, shipping, vendor timelines, and day-of operational checklists — working closely with on-ground teams and partners.
Maintain and manage the events calendar, tracking timelines, deliverables, and dependencies across all planned events.
Coordinate swag and promotional inventory, ensuring accurate stock, timely procurement, and on-time delivery to event locations.
Maintain accurate budgeting and expense documentation for all events.
Serve as the operational point of contact for internal stakeholders and external vendors, ensuring clear communication and timely issue resolution.
Build and maintain SOPs and checklists to standardize event operations and improve efficiency over time.
What We're Looking For
2–4 years of experience in event coordination, event operations, or logistics planning (B2B SaaS experience is a plus).
Strong organizational skills with the ability to manage multiple moving parts and timelines simultaneously.
Excellent attention to detail, especially around logistics, vendor coordination, and budgeting.
Comfortable working cross-functionally with internal teams, vendors, and external partners.
Proficiency with Google Workspace, and event management platforms (Zoom, Hopin, Airmeet, Goldcast, or similar).
A proactive, solutions-first approach to troubleshooting logistics and operational issues.
