EVENTS SERVICES EXECUTIVE
Job Responsibilities
• Provide day-to-day operational and service support to the Project Lead in managing end-to-end event execution
• Coordinate event operations, including venue arrangements, event manpower, suppliers, vendors, logistics, and on-site requirements to ensure smooth event delivery
• Provide professional service and assistance to clients, guests, participants, exhibitors, and stakeholders before, during, and after events
• Respond to event-related enquiries and requests promptly and ensure service issues are handled effectively
• Work closely with internal teams, clients, suppliers, contractors, and venue management to coordinate event requirements and timelines
• Assist in preparing event schedules, run sheets, venue layouts, floorplans, manpower plans, and operational checklists
• Coordinate and supervise event setup, registration, guest reception, event execution, crowd flow, and teardown activities
• Ensure event venues, equipment, signage, registration areas, and service points are properly prepared before event commencement
• Brief and coordinate event crews, part-time staff, promoters, ushers, volunteers, and other event manpower to ensure service standards and operational requirements are met
• Monitor event operations on-site and provide immediate support in resolving operational or service-related issues
• Liaise with venue owners and management regarding event access, operational requirements, permits, documentation, and necessary approvals
• Source, evaluate, and coordinate suppliers, vendors, equipment, manpower, transportation, and other event-related services
• Obtain quotations and identify cost-effective solutions while ensuring required service and quality standards are maintained
• Prepare and process purchase requisitions, quotations, invoices, event documents, reports, and other administrative paperwork
• Maintain accurate project records, supplier information, event documentation, and operational reports
• Assist in developing event proposals, presentations, creative concepts, and engagement ideas based on client and event requirements
• Support client presentations and communicate event plans, operational arrangements, and service requirements clearly to relevant stakeholders
• Coordinate with media partners, influencers, performers, vendors, and external partners where required for event publicity and engagement activities
• Assist with press activities, interviews, media coverage, influencer collaborations, and promotional arrangements where applicable
• Maintain clear and professional communication with clients and stakeholders throughout the event planning and execution process
• Ensure client and guest requirements are followed up accurately and delivered within agreed timelines
• Stay updated with current trends in events, entertainment, lifestyle, marketing, and social media to contribute new ideas for event experiences and audience engagement
• Perform other event operations, client servicing, and administrative duties as assigned
Job Requirements
• Minimum Diploma or Degree in Event Management, Marketing, Communications, Hospitality, Business, or a related field
• At least 2 years of relevant experience in events, hospitality, customer service, marketing, or a related industry
• Experience in event operations, client servicing, venue coordination, or on-site event management will be an advantage
• Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint
• Strong communication, interpersonal, and customer service skills
• Service-oriented with the ability to handle clients, guests, suppliers, and stakeholders professionally
• Strong organizational, coordination, and problem-solving skills with good attention to detail
• Able to multitask, prioritize responsibilities, and work effectively in a fast-paced event environment
• Able to work independently as well as collaboratively within a team
• Dedicated, self-motivated, responsible, and results-driven
• Comfortable working on-site and handling operational matters during events
• Willing to work flexible hours, including weekends and public holidays, according to event schedules when required
• 6-day work week
