Events Specialist
You will support the Event Manager throughout the planning and delivery of major events. You will coordinate schedules, budgets, project materials, partners, vendors, speakers, programs, and live entertainment. You will track milestones, communicate updates across departments, manage event logistics, and ensure partners, speakers, exhibitors, and attendees receive a high-quality experience.
Responsibilities
- Support the Event Manager with scheduling, budgeting, and project-management materials.
- Communicate with involved departments about updates and new developments.
- Track and execute partner deliverables.
- Manage vendors, including quotes, certificates of insurance, load-in and load-out scheduling, and accounting.
- Monitor milestones and maintain the pace needed for on-time delivery.
- Confirm collaborators have the information needed to make informed decisions.
Requirements
- Demonstrate a passion for event management.
- Maintain lists and spreadsheets.
- Solve problems and turn chaos into systems.
- Remain organized and adaptable to last-minute changes.
- Be available for evening events, weekends, and tight deadlines.
- Have a reliable laptop computer and smartphone for work.
- Plan to stay in Texas for at least two years.
- Have reliable transportation.
- Use Gmail, Drive, Docs, Sheets, and Slides efficiently.
- Be available during SXSW, DREAMCON, and Austin Tech Week.
