Executive Admin & Event Specialist
Role Overview
The Executive Assistant at GHX India serves as a cornerstone of executive effectiveness and organizational culture. This role partners directly with senior leadership to keep priorities moving, while also owning the planning and execution of team events and culture programs that make GHX India a great place to work. The ideal candidate is proactive, organized, discreet, and genuinely energized by bringing people together.
Key Responsibilities
Executive Support for Managing Director of India
- Manage the calendar of the Managing Director of India, including scheduling meetings.
- Coordinate domestic and international travel, including flights, hotels, meals, and ground transportation; provide real-time support for itinerary adjustments due to schedule changes or disruptions.
- Plan and coordinate executive team events, including venue selection, catering, and onsite support; attend events as needed to stay connected with executive and team needs.
- Prepare, edit, and review documents, presentations, and correspondence with accuracy, clarity, and professionalism.
- Build comprehensive itineraries for conferences and complex travel schedules.
- Track and reconcile executive expenses, manage petty cash purchases, and process expense reports.
- Proactively assess administrative needs, prioritize tasks, and recommend effective solutions to support executive and team operations.
- Organize and maintain electronic and physical files per GHX Security and Compliance guidelines.
- Follow all GHX policies including T&E, Compliance, and Security policies.
- Assist with special projects and perform additional administrative duties as assigned.
Culture & Events
- Plan and execute employee culture and events from concept to close — offsites, celebrations, recognition moments, and milestone gatherings.
- Partner with leadership and HR to bring the company’s values to life through meaningful, well-run experiences.
- Collaborate with the Branding and Marketing team to plan, review, and update employee engagement and corporate social media content.
- Manage HR administrative activities, including maintaining stock and distribution of new hire welcome kits and onboarding materials.
- Own logistics end-to-end: venue, vendors, budget, communications, day-of coordination, and follow-up.
- Spot opportunities to build connection and morale and bring ideas forward without waiting to be asked.
- Maintain a calendar of recurring culture moments.
- Manage event budgets and vendor relationships with an eye toward quality and cost.
What We’re Looking For
- 3+ years of experience in an Executive Assistant, Office Manager, or similar role supporting senior leaders.
- Strong organizational skills and the ability to manage competing priorities with calm and clarity.
- Excellent written and verbal communication skills in English.
- Experience coordinating events or programs across a team or organization.
- High degree of discretion and professionalism when handling sensitive information.
- A self-starter who notices what needs to be done and acts without being asked.
- Proficiency with tools such as Microsoft Office 365, Teams, AI and calendar management platforms.
- Experience working in a global, cross-functional organization is a plus.
- Ability to work in the Hyderabad office no less than 3 days per week.
