Executive Assistant
Responsibilities
- Provide high-level administrative and coordination support to the Management Office, ensuring smooth follow-up of business priorities and Management initiatives.
- Manage calendars, schedule meetings, prepare agendas, provide administration and coordination support for Management events, meetings, visits and corporate activities.
- Record and circulate meeting minutes, track follow-up actions across departments to ensure timely completion.
- Act as a liaison between the Management Office and internal departments to consolidate updates, reports etc.
- Assist in preparing management materials, presentations, and periodic reports for submission to HO.
- Handle official correspondence, letters, invitations, and communication on behalf of the Management.
- Support coordination with external stakeholders such as government bodies, trade associations, and business partners etc when required.
- Maintain internal trackers, documentation, and filing systems to support reporting and Management follow-up.
- Assist with ad-hoc assignments and cross-functional coordination as directed by Management.
- Assist with various tasks as assigned by Management to ensure the seamless execution of day-to-day operations.
Requirements
- Minimum Degree holder in Business Administration or related field.
- At least 4 years of work experience as an Executive Assistant in the banking/ finance industry
- Excellent communication and interpersonal skills
- A team player as well as able to work independently
- Ability to multi-task and work under pressure in a dynamic and fast-paced environment
- Ability to maintain confidentiality and exercise discretion.
- Effectively bilingual in both written and spoken Chinese.
- Proficient in Microsoft Office
