Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be formally engaged as an Independent Contractor (ICA). We are not an outsourcing agency. All of our roles are 100% remote, so you’ll be able to work from home.

Who The Client Is:
Our client is a premium property styling business based in Moorabbin, operating across Melbourne. Our Client transforms residential spaces with modern design aesthetic, helping property owners and real estate agents achieve premium sale results.

Role Overview:

This is a high-impact EA and Administrative Assistant role supporting the Business Owner in keeping daily operations running seamlessly. As the business grows, you will serve as the operational backbone, taking over client proposals, invoicing, email communications, and key logistics.

The successful candidate will be expected to learn and operate within the company’s existing systems, Google Workspace, Xero, and our Claude-based workflows on Day 1. There is no hand-holding period for the software tools, only for the specific business context. You must be a proactive, highly organized self-starter who takes complete ownership of day-to-day administration so the owner can focus on styling, design, and business growth.

Key Responsibilities:

  • Monitor, triage, and manage the main inbox daily using Claude to draft professional client responses, execute proactive follow-ups on open quotes, and handle routine inquiries.
  • Prepare and execute client proposals, issue accurate invoices in Xero, and do monthly reconciliation and bank feed management.
  • Leverage Claude to document simple daily procedures (SOPs), streamline client communications, create operational templates, and draft social media captions to showcase completed property styling projects.
  • Schedule property styling logistics, coordinate team and site access, and ensure daily operations run smoothly.
  • Organize visual assets, schedule posts, and keep content queues organized across ARCH’s visual platforms.
  • Identify operational bottlenecks, organize daily priorities, and step in to manage routine tasks before they become urgent.

Requirements

Required Skills and Qualifications:

  • Hands-on Claude Experience is REQUIRED: You must already be using Claude confidently in your daily work or be able to demonstrate that you have rapidly mastered AI tools in a previous role. (Candidates without proven AI/Claude fluency will not be considered).
  • Hands-on experience with Xero.
  • Exceptional written and verbal English communication skills, with a polished, warm, and professional tone for Australian client interactions.
  • Background in property styling, interior design, real estate, or trade-related industries is a plus, but not required.
  • Extreme attention to detail, highly accountable, and comfortable taking initiative without constant supervision.
