About the Role
The client is a residential and commercial finance broking firm working across mortgage broking, commercial lending, development finance, and equipment finance. We’re looking for an experienced Executive Assistant / Broker Support Officer to work directly alongside the Director and the broader team, helping run the day-to-day, keep the loan pipeline moving, and make sure nothing slips through the cracks.
This role is ideal for someone who takes pride in the detail — the “1%” that most people overlook but that keeps clients happy and deals progressing. Attention to detail and taking the initiative are critical to this role. You’ll be the engine room of a busy broking practice: chasing the follow-ups, staying on top of client requests, and freeing up the Director and the team to focus on clients and lending strategy.
Key Responsibilities
Day-to-day & workflow
- Help run the day-to-day operations of the business and keep the Director and team organised
- Look after “the 1%” — the small but important tasks and follow-ups that keep clients and deals moving
- Manage calendars, appointments, reminders, and task lists for the Director and team
- Track and follow up outstanding tasks, action items, and client requests end-to-end
- Manage the inbox and draft/respond to client and lender emails
Loan processing & broker support
- Enter and maintain loan application data in the loan lodgement system / CRM
- Prepare and assemble lender application forms, supporting documentation, and loan packaging
- Assist with building and compiling compliance documents for loan applications (fact find / needs analysis, preliminary assessments, Best Interests Duty records, supporting checklists)
- Track loan applications through to settlement and follow up outstanding requirements with clients, lenders, and valuers
Repricing & client retention
- Manage the repricing process — review existing client loans, identify repricing opportunities, and submit/track repricing requests with lenders
- Maintain client records and proactively flag review and retention opportunities
Marketing & admin
- Assist with drafting website content, client communications, and general marketing material
- Assist with marketing administration and systems
- Conduct research and prepare reports as required
Requirements
Ideal Experience
- Previous Executive Assistant, Personal Assistant, or broker support experience
- Experience supporting business owners, executives, directors, or teams
- Experience in mortgage broking, banking, finance, or financial services preferred
- Familiarity with loan lodgement / aggregator software and CRM systems highly regarded
- Strong administration and organisational skills
- Excellent written and verbal English
- Experience working with Australian businesses is highly regarded
