Executive Assistant

About the Role

Founded in 2017, our company is a Singapore-based firm focused on proprietary foreign exchange (FX) trading across global currency markets, deploying in-house capital with discipline and precision. Beyond our core FX trading activities, we invest across borders — including Indonesia, the Middle East, the Philippines, Thailand, and Vietnam — in select companies and opportunities aligned with our long-term vision, including a newly established fund entity in Dubai (DIFC). The General Counsel — who also holds broader operational oversight — is seeking a highly capable, discreet, and trusted Executive Assistant to serve as a true right hand. This is not a standard administrative role. You will operate at the center of a fast-moving, high-trust environment spanning legal, compliance, and operations across multiple jurisdictions.

Who You'll Work With

You will work directly and exclusively with the General Counsel, who also carries broader operational responsibilities within the company. You should expect a fast pace, shifting priorities, sensitive information, and a principal who needs someone who can think one step ahead.

Key Responsibilities

• Act as first point of contact and gatekeeper — screening requests, correspondence, and meeting asks, and triaging what needs immediate attention versus what can wait or be delegated.

• Anticipate needs before being asked — flagging upcoming deadlines, preparing materials in advance, and thinking ahead about what the General Counsel will need next.

• Liaise professionally with internal staff, external counsel, and counterparties on the General Counsel's behalf, including across different cultural and business contexts as the company expands regionally.

• Maintain absolute discretion and confidentiality regarding company, legal, and financial matters.

• Support ad hoc projects as the compliance and legal function is built out, including light research, tracking action items, and following up on outstanding tasks.

• Own the General Counsel's calendar end-to-end: scheduling, prioritizing, and resolving conflicts across time zones (Singapore, Dubai, and other regions as the company expands).

• Coordinate and book domestic and international travel, including flights, accommodation, visas, and itineraries; travel with the General Counsel when required.

• Handle document preparation, printing, formatting, and organization of legal and business materials, including sensitive and confidential agreements.

• Manage expenses, invoices, and administrative processes related to the General Counsel's role.

Practical Requirements

• Prior experience as an Executive Assistant, Personal Assistant, or Chief of Staff-type role, ideally supporting a senior executive, founder, or professional in law, finance, or a comparable high-trust environment.

• Excellent command of English, both written and verbal, with the ability to draft clear, polished correspondence.

• A clear, firm, and concise communicator in both written and spoken form, comfortable navigating intercultural dialogue as the company works across diverse markets and business cultures.

• Strong interpersonal and people skills; able to build rapport and trust quickly with a wide range of stakeholders, from senior counterparties to internal staff.

• Comfortable liaising confidently and professionally with senior stakeholders and external parties.

• Proficiency with calendar tools, travel booking platforms, and standard office software.

• Based in Singapore, with flexibility to travel internationally.

Nice to Have

• Prior experience supporting someone in a legal, compliance, or financial services role.

• Exposure to a founder-led or closely-held business environment.

• Experience coordinating across multiple time zones or jurisdictions.

• Familiarity with common AI tools and comfort adopting new technology to work more efficiently.
