Executive Assistant

We are seeking a highly organized and strategic Executive Assistant to support our CEO. This role goes beyond traditional administrative support, requiring a proactive partner who can anticipate needs, manage priorities, and help the CEO operate at maximum efficiency. The ideal candidate will be someone who thinks strategically, is highly detail-oriented, and possesses the foresight to manage time and resources effectively. This person will be a key confidante for the CEO, handling email, calendar management, coordination of personal and professional activities, and serving as a reliable buffer to create valuable time for the CEO.

Key Responsibilities:

  • Email Management & Organization
    • Manage and streamline the CEO’s inbox for efficiency and accessibility.
    • Prioritize and highlight critical communications for the CEO’s attention.
    • Maintain a logical and intuitive email organization system without overcomplicating folders.
    • Filter, delegate, and respond to routine emails to optimize workflow.
  • Calendar Management & Strategic Planning
    • Oversee the CEO’s schedule, proactively resolving conflicts and planning ahead.
    • Monitor the calendar 2–3 weeks in advance to ensure readiness for key meetings and deadlines.
    • Coordinate meetings and events with internal and external stakeholders, aligned with priorities.
  • Operational & Personal Coordination
    • Assist with professional and personal tasks, including travel and appointments.
    • Serve as a bridge between the CEO and the leadership team, handling non-critical communications.
    • Protect the CEO’s time and confidentiality with discretion and reliability.
  • Project Support & Follow-Through
    • Coordinate timelines, resources, and progress tracking for CEO-led initiatives.
    • Prepare reports, presentations, and other materials for meetings.
    • Proactively identify and address areas where additional support may be needed.
  • Proactive Task & Resource Management
    • Anticipate the CEO’s needs and implement solutions to manage workload and resources.
    • Organize and maintain accessible documents and files.
    • Act as a contact point to streamline requests for information or resources.

Key Qualifications:

  • Proven experience (5+ years) as an Executive Assistant to a CEO or senior executive.
  • Bachelor’s degree in Business, Communications, or related field (or equivalent experience).
  • Highly organized with strong attention to detail and commitment to consistency.
  • Demonstrated ability to manage email and calendars with a proactive approach.
  • Strong written and verbal communication skills.
  • Discreet, trustworthy, and able to handle sensitive information with the highest confidentiality.
  • Skilled in Microsoft Office Suite, Google Workspace, and other productivity tools.

Employment Type:
This role will begin as a part-time position, with the potential to transition into a full-time role as responsibilities and workload increase.
