SUMMARY

The Executive Assistant provides strategic administrative and operational support to the Managing Director, Colorado and the EVP, Global Head of BU Peptides, enabling effective management of priorities, communications, schedules, and key business initiatives. This role requires exceptional organizational and planning skills, sound judgment, a high degree of discretion, and the ability to navigate multiple priorities in a dynamic, fast-paced environment.


As a trusted partner to Senior Leadership, the Executive Assistant serves as a central point of coordination, fostering seamless communication and collaboration across internal and external stakeholders. The role also supports the execution of strategic projects, leadership meetings, and business operations, helping ensure alignment, efficiency, and organizational effectiveness.


This position is based onsite in Boulder, Colorado. While regular in-office presence is expected to support the business and leadership team effectively, the role offers reasonable flexibility to accommodate personal appointments and other occasional scheduling needs.


ESSENTIAL DUTIES AND RESPONSIBILITIES

Executive Support

  • Provide administrative support for the Managing Director and the EVP, Global Head of BU Peptides (“Executives”)
  • Manage a complex calendar for Executives, including meetings across multiple sites, leadership meetings, customer engagements, and strategic initiatives
  • Coordinate domestic and international travel, itineraries, accommodations, transportation, and expense reporting
  • Prepare meeting agendas, presentations, briefing materials, reports, and correspondence
  • Maintain awareness of organizational priorities and proactively anticipate the Executives’ needs
  • Track follow-up items and commitments resulting from leadership meetings and ensure timely completion
  • Prepare the Executives for meetings by gathering relevant information, documents, and background materials
  • Screen and prioritize communications, including emails, phone calls, and correspondence
  • Manage expense reports, invoices, and other administrative requirements
  • Handle confidential and sensitive information with a high degree of discretion and professionalism


Leadership & Site Coordination

  • Act as primary liaison between the Executives and Corporate Leadership, the Board; and investors, providing seamless communication, discretion, and high-level support to strengthen executive relationships
  • Coordinate and participate in leadership meetings, including agendas, materials, meeting logistics, minutes, and action-item tracking
  • Partner with department leaders to ensure alignment on key initiatives, deadlines, and organizational priorities
  • Assist with planning and execution of site-wide leadership events, town halls, employee meetings, and organizational activities.
  • Facilitate communication and information flow between departments while maintaining appropriate confidentiality
  • Prepare and analyze monthly management corporate reports, including formatting, editing, and compiling department data to ensure timely submittal

Business & Operational Support

  • Support site visits and executive/customer visits, including schedules, meeting rooms, presentations, and hospitality
  • Coordinate communications and logistics for audits, inspections, corporate visits, and other high-visibility activities when needed
  • Organize offsite meeting venue reservations and logistics
  • Order catering for lunch meetings and other department requests and facilitate dinner reservations
  • Keep conference rooms in order, distribute Wi-Fi, and submit IT and Facility requests as needed
  • Handle conference equipment requests and follow up with IT to ensure equipment is functional and prepared for meetings
  • Follow up on facility, maintenance, and janitorial requests
  • Manage logistics for conference registration
  • Assist with event coordination as needed
  • Be available to work after hours and on weekends, on occasion

cGMP is the part of Quality Management System ensuring products are consistently produced to accurate quality standards. Adherence to clearly defined procedures, in compliance with the principles of cGMP, is required when performing operations across Corden Pharma Colorado.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor’s Degree preferred; equivalent education, training, and experience will be considered.


Three years of experience supporting Senior Executives, preferably in the pharmaceutical, biotechnology, life sciences, manufacturing, or other regulated industries.


Experience providing administrative support to Senior Leaders and Executives.


LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of an organization.


MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.


REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Actual pay will be based on your skills and experience.
