Executive Assistant

Role Overview

The Executive Assistant will provide high-level administrative and operational support to the Managing Director, helping manage priorities, coordinate key activities, and improve day-to-day efficiency.


This role requires someone highly organized, proactive, tech-savvy, and confident using tools such as ChatGPT, Claude, Canva, Microsoft Office, and automation platforms to streamline tasks, prepare documents, improve reporting, and support better decision-making.

Key Responsibilities

  • Provide executive and administrative support to the Managing Director.
  • Manage calendars, meetings, travel, correspondence, and daily priorities.
  • Prepare meeting agendas, minutes, reports, presentations, and business documents.
  • Support document control, contract coordination, project tracking, and follow-ups.
  • Use ChatGPT, Claude, Canva, and Microsoft Office to improve drafting, reporting, workflows, and productivity.
  • Assist with process improvement and automation-related initiatives.
  • Coordinate with internal teams, external partners, and key stakeholders.
  • Handle confidential information with professionalism and discretion.


What We're Looking For

  • Minimum 5 years’ experience as an Executive Assistant, Personal Assistant, Senior Administrator, or similar role.
  • Strong experience supporting senior leaders, executives, or business owners.
  • Strong administrative, organizational, multitasking, and problem-solving skills.
  • Proficiency in ChatGPT, Claude, Canva, Microsoft Office, and digital productivity tools.
  • Strong English communication skills, sound judgment, and ability to work independently.
  • Proactive, adaptable, detail-oriented, and comfortable working in a fast-paced environment.
  • Experience with Australian employers, logistics, document control, contracts, or project administration is an advantage.
  • Willing to work in the office full-time at Arcovia City, Brgy. Ugong, Pasig City. (Monday - Friday, morning shift)
