Job Summary:
The Executive Assistant provides high-level administrative and organizational support to the Chief Financial Officer (CFO), Chief Information Officer (CIO), and Vice President of Accounting while serving as the primary office administrator for the Post Road offices
Job Scope:
The Executive Assistant serves as a trusted partner, providing comprehensive administrative support to executive leadership. This position is responsible for coordinating executive schedules, facilitating departmental communications, supporting key business initiatives, and managing highly confidential information with discretion and professionalism. Working closely with senior leaders, team members, vendors, regulators, and external business partners, the Executive Assistant ensures the seamless execution of daily operations and administrative functions. The role requires exceptional organizational, communication, and judgment skills, along with the ability to operate independently while supporting the overall success of the Finance, Accounting, and Information Technology departments
Job Responsibilities:
- Provide direct administrative support to the CFO, CIO, and VP of Accounting.
- Manage complex calendars, appointments, meetings, and travel arrangements.
- Conduct intake messaging tasks.
- Coordinate executive schedules and prioritize competing business needs.
- Prepare correspondence, reports, presentations, agendas, meeting minutes, and other business documents.
- Answer, screen, and direct calls appropriately while providing exceptional customer service.
- Assist with special projects, department initiatives, and executive priorities.
- Conduct research, gather data, and prepare information for management review.
- Monitor and respond to inquiries on behalf of executives when appropriate.
- Maintain accurate and organized electronic and paper filing systems.
- Handle highly confidential and sensitive information with discretion and professionalism.
- Track department deadlines, projects, and follow-up action items.
- Provide effective and collaborative support to property leadership committee members.
- Coordinate invoices, expense reports, reimbursement requests, and purchasing documentation.
- Serve as the primary administrative contact for Post Road office operations.
- Ensure office spaces remain organized, professional, and functional.
- Coordinate office supply inventory and ordering.
- Manage incoming and outgoing mail, deliveries, and courier services.
- Coordinate facility-related requests with internal departments and external vendors.
- Assist with office access, visitor coordination, and workspace assignments as directed.
- Support conference room scheduling and meeting setup.
Education, Experience, and Qualifications:
- High school diploma or general equivalency diploma (GED) required.
- Minimum of three (3) years of progressively responsible administrative experience
- C-suite executives or senior leadership support, preferred.
- Must be 21 years of age or older.
- Experience in gaming, hospitality, finance, accounting, banking, or corporate business environments.
- Experience supporting multiple managers or senior-level leaders in a fast-paced environment.
- Experience coordinating meetings, maintaining calendars, preparing executive correspondence, and managing confidential information.
- Proficient utilizing Microsoft Office applications and office technology.
- Exceptional organizational, time management, and prioritization skills.
- Ability to manage multiple projects and deadlines simultaneously with minimal supervision.
- Demonstrated ability to handle highly confidential and sensitive information with discretion.
- Must pass all required pre-screening and background checks.
