The Role
The Executive Assistant, ELT supports the day-to-day administrative and operational needs of Bloom's executive leadership team, including the SVP of Brand, VP of Performance Marketing, and Chief of Staff. You'll work closely with Bloom's ELT to keep projects, communications, and schedules running smoothly, and will be lockstep with the CEO and President's EAs to help keep the leadership team a well-oiled machine. You will primarily manage calendars, while also coordinating travel, reconciling expenses, running errands, or helping execute internal team events. You're proactive, detail-oriented, and excited to grow with a team that's shaping the future of wellness.
Responsibilities
Executive Support & Coordination
Manage ELT calendars - scheduling/coordinating meetings
Prepare agendas, meeting materials, and decks; take notes and track follow-up actions
Manage travel logistics including flights, hotels, and detailed itineraries
Draft, proofread, and organize documents, reports, and presentations
Handle correspondence and communications between executives, internal teams, and external partners with professionalism and discretion
Process expense reports and support vendor communications and budget tracking
Support legal administration including coordinating contract routing, tracking signature status, and following up on outstanding agreements with internal and external stakeholders
Anticipate executive needs and proactively manage priorities to ensure efficient time management
Maintain organized digital files and shared drives
Help streamline executive workflows and implement process improvements
Support preparation of materials for board and leadership reviews
Coordinate alignment across the ELT in partnership with the CEO and President's EAs
Maintain organized records of legal documents, approvals, and corporate filings
Team and Culture Support
Coordinate product sendouts for PR, brand and retail partners, and business contacts
Run errands - picking up and dropping off items within the Austin area, as needed
Support deck and presentation development for ELT meetings and leadership reviews
Help plan and coordinate internal team meetings, offsites, and culture-building events
Liaise with cross-functional teams on behalf of the ELT to ensure alignment and seamless execution
Conduct research to support campaign, product, and business development needs
Foster a positive, organized, and collaborative team environment
Maintain confidentiality and exercise discretion in all interactions
Who You Are
Highly organized with exceptional attention to detail and follow-through
A proactive self-starter who anticipates needs and solves problems before they arise
Strong communicator with the ability to work across teams and leadership levels
Comfortable in a fast-paced, high-growth environment with shifting priorities
Tech-savvy with strong proficiency in Google Suite, Slack, and project management tools (Asana, Airtable, Notion)
Positive, adaptable, and solutions-oriented mindset
Passionate about wellness, creativity, and supporting an inspiring brand mission.
Must have reliable transportation and ability to travel to and from work locations
Flexibility to work/respond on occasional evenings or weekends as needed
Experience
2–4+ years of experience in executive support, brand coordination, or marketing (ideally in CPG or lifestyle).
Previous experience supporting senior leadership and managing multiple priorities simultaneously.
Bachelor’s degree or equivalent experience.
