Executive Assistant

You'll coordinate and maintain the schedules, travel, projects, and other tasks assigned by the Senior Leadership Team. You'll act as an internal and external representative for the company brand and its leaders, and you'll work closely with other department assistants to keep ongoing projects and needs on track. You'll organize senior management meetings, off-sites, and all-staff meetings, selecting appropriate times, communicating agendas, preparing materials, and recording notes. You'll manage expense reports for the Leadership Team, book company travel, process vendor invoices on time, and handle general administrative duties like greeting visitors and answering calls. You'll bring a proactive, detail-oriented approach to every task, prioritizing what matters most and delivering a high standard of service on time.

Responsibilities

  • Maintain the confidentiality of all information received or within the scope of the position
  • Represent the company brand and company leaders internally and externally
  • Collaborate with different department assistants to ensure ongoing projects and needs are met
  • Coordinate the agenda of senior management team meetings, off-sites, and all-staff meetings
  • Select appropriate meeting times in accordance with communicated preferences
  • Communicate meeting agendas to appropriate individuals
  • Prepare and send necessary meeting materials
  • Record and distribute meeting notes as needed
  • Maintain expense reports for the Leadership Team, collecting and organizing receipts and processing monthly expenses through Concur
  • Book company travel for the Leadership Team, including flights, hotels and transportation
  • Process invoices for vendors in a timely manner to ensure on time payments
  • Perform general administrative functions, including meeting and greeting visitors, answering phone calls and answering queries
  • Deliver a high standard of service to internal customers on time
  • Perform additional tasks and responsibilities as assigned by the Leadership Team

Requirements

  • Experience supporting or coordinating operations and administrative tasks on a team
  • Bachelor's degree preferred
  • Proficient in Microsoft Office Suite required (Outlook, Word, Excel and PowerPoint, and Lucidchart)
  • Proven ability to handle confidential information with discretion
  • Thoroughness and accuracy when accomplishing all tasks
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability
  • Customer focused and highly approachable with the ability to be proactive, resourceful, and flexible
  • Excellent interpersonal skills, including the ability to work effectively as part of a team and interact with all levels of management and staff
  • Demonstrated ability to organize, prioritize, meet deadlines, make effective decisions and change course of action quickly
  • Effective communicator, both verbally and written
  • Emotional intelligence
  • Knowledge of sports industry, gaming or technology a big plus, but not required
