Executive Assistant Finance
You will support senior Finance leaders by managing calendars, inboxes, correspondence, deadlines, and priorities. You will coordinate finance workstreams, documents, signatures, transactions, and cross-functional communications. You will organize leadership sessions, manage budgets and vendors, improve administrative workflows with AI and automation, and protect sensitive business, personnel, and financial information.
Responsibilities
- Manage calendars for multiple Finance executives while maintaining confidentiality and sensitivity to deal timing
- Manage inboxes for at least two executives by triaging communications, drafting responses, flagging urgent matters, and ensuring timely attention to high-priority items
- Coordinate finance workstreams, including document management, signature logistics, and matter tracking for active transactions
- Coordinate with Legal, Finance, GTM, and external counsel or advisors to ensure alignment and follow-through
- Draft, organize, and manage executive correspondence, including communications with investors and counterparties
- Track deadlines, deliverables, and commitments across financial planning cycles
- Support finance leadership offsites and cross-functional working sessions
- Manage budgets and vendor relationships for Finance leadership
- Streamline finance administrative workflows using AI, automation, and lightweight tools
- Handle sensitive business, personnel, and financial information confidentially
Requirements
- 3+ years of experience supporting senior executives, ideally in Legal, Finance, Investment Banking, Private Equity, or another high-confidentiality environment
- Experience managing executive inboxes, including triage, prioritization, and drafting
- Ability to handle sensitive financial materials with discretion
- Organizational skills and attention to detail
- Judgment about when to act independently and when to escalate
- Written and verbal communication skills
- Ability to manage multiple high-priority workstreams simultaneously
- Proficiency with Google Workspace, DocuSign or equivalent, and collaboration tools such as Slack
- Experience using AI or automation to streamline administrative work
