Our mission is to provide great jobs to gifted people, regardless of location.
About the Client
Our client is a U.S.-based boutique tax advisory firm specializing in helping high-net-worth individuals and business owners legally reduce their tax liabilities. They pride themselves in delivering a white glove client experience — proactive, individualized, and detail-oriented service that ensures every client feels supported at every stage of their journey.
About the Role
The Executive Assistant works directly with the Chief of Staff to keep priorities moving, information organized, and projects on track across the company's operating businesses. This role is ideal for someone highly organized, detail-oriented, and comfortable managing multiple workstreams independently. The right person will bring strong project management instincts, a sharp eye for detail, and the ability to keep things structured without needing much oversight.
What We're Looking For
- Exceptional attention to detail — nothing slips through the cracks
- Strong project management experience — able to track tasks, owners, and deadlines across multiple workstreams
- Highly organized — thrives on structure and keeping information easy to find
- Clear written communicator, comfortable managing email and calendar independently
- Trustworthy with confidential and financial information
- Proactive — flags issues and follows up without being asked twice
Why This Role Matters
This is a high-trust, high-visibility role. Done well, it directly increases the Chief of Staff's ability to focus on higher-value priorities rather than administrative detail — the person in this seat becomes a true operating partner, not just a support function.
Responsibilities
This role blends day-to-day executive support with light project coordination across the Chief of Staff's portfolio of companies. Core areas include:
- Inbox & Calendar Management — Keep the Chief of Staff's inbox organized and labeled, flag priority items, and manage scheduling so nothing is missed.
- Project & Meeting Follow-Through — Turn meeting notes into clear action items, assign owners, and track follow-up to completion.
- Financial & Vendor Coordination — Handle routine payments, invoicing, and document organization (receipts, invoices, statements) across companies.
- Operational Support — Assist with team onboarding/offboarding logistics, event planning, and day-to-day research requests.
- Daily Reporting — Provide a short end-of-day summary on priority items and outstanding follow-ups.
