As an Executive Assistant, you’ll serve as a trusted strategic partner to the Founder’s Office, supporting Co-Founders and C-suite leaders in a fast-growing, mission-driven environment.
You’ll help executives maximize their impact by protecting their time, creating structure, and anticipating priorities before they become urgent.
The role combines sophisticated calendar management, executive communications, travel coordination, meeting support, and cross-functional execution.
You’ll operate at the center of leadership activity, connecting executives with internal teams, external partners, vendors, and key stakeholders.
Beyond administrative responsibilities, you’ll build systems and processes that strengthen organizational efficiency and leadership cadence.

Accountabilities:
- Own complex, multi-time-zone calendar management for Co-Founders and senior executives, prioritizing meetings based on urgency, strategic importance, and business impact.
- Protect executive time by triaging inbound requests, managing calendar holds, resolving conflicts, and proactively identifying scheduling challenges.
- Plan and coordinate leadership meetings, staff meetings, business reviews, planning sessions, team offsites, and large-scale company events.
- Act as a meeting proxy when necessary, capturing detailed notes, documenting decisions, clarifying ownership, and ensuring action items receive appropriate follow-through.
- Draft, edit, and send communications on behalf of executives, maintaining a polished, professional, and executive-level voice.
- Serve as a primary liaison between executives and internal leaders, external partners, vendors, and other stakeholders.
- Digest and summarize important information, updates, risks, and insights, escalating matters appropriately while maintaining strict confidentiality.
- Support the leadership operating cadence by owning agendas, meeting preparation, notes, action tracking, and follow-up.
- Develop and continuously improve systems, templates, workflows, and processes that enhance executive productivity and organizational effectiveness.
- Manage end-to-end travel arrangements, including itineraries, reservations, logistics, and expense reporting.
- Ensure seamless operational execution during periods of high volume, executive travel, organizational change, or rapidly shifting priorities.
- Provide occasional support for personal matters that enable executives to remain focused and effective in their professional responsibilities.
- Anticipate executive needs, independently solve problems, and stay ahead of deadlines and important commitments.
- 5+ years of experience supporting senior executives, preferably VP- or C-suite-level leaders in a high-growth, fast-paced environment.
- Experience working within a legal environment, such as a law firm, is preferred.
- Exceptional calendar management, prioritization, organization, and time-management skills.
- Excellent written and verbal communication skills, including the ability to prepare clear, concise, and polished executive-level messaging.
- Demonstrated discretion, professionalism, sound judgment, and ability to manage highly confidential information.
- Strong project management capabilities with a clear bias toward execution, ownership, and follow-through.
- Ability to anticipate needs, identify potential challenges early, and solve problems independently.
- Comfortable operating in dynamic and sometimes ambiguous environments while maintaining calm, clarity, and attention to detail.
- High emotional intelligence and the ability to navigate cross-functional relationships with empathy, tact, confidence, and professionalism.
- Strong stakeholder-management skills and the ability to build trusted relationships with executives, employees, partners, vendors, and other external contacts.
- Experience in startups, healthcare, technology, legal, or similarly complex operational environments is advantageous.
- Ability to operate effectively within a lean organization where urgency, precision, adaptability, and accountability are highly valued.
