Role Overview

The Executive Assistant provides high-level administrative and operational support, enabling the CEO to focus on strategic and technical priorities. The role manages teh CEO's calendar and inbox, tracks follow-through on cross-functional priorities, coordinates travel and logistics, and support team-wide rhythms such as weekly meetings and Town Halls.

This role requires strong judgment, discretion, and the ability to manage multiple priorities independently in a fast-paced environment.

Key Responsibilities

  • Manage Cross-Functional Follow-Through: Track and support resolution of open action items and follow-ups across the leadership team, within the organization, and with external stakeholders

  • Support CEO Priorities: Assist the CEO in delivering on key accountabilities with accuracy and efficiency, including meeting preparation and document/deck drafting

  • Manage Calendar: Coordinate scheduling, batch meetings, and resolve conflicts in line with the CEO's priorities

  • Support Team Alignment: Prepare, document, and follow through on meetings, company-wide syncs, and Townhalls, working with functional leads to drive alignment

  • Manage Inbox: Draft routine responses for review, flag items requiring the CEO's attention, and handle or delegate the rest

  • Coordinate Travel & Logistics: Manage travel arrangements and other administrative needs end-to-end

  • Maintain Confidentiality: Exercise discretion and sound judgment with sensitive, high-context information

  • Other Duties: Support additional tasks as needed by the CEO

Qualifications

  • At least 3 years of experience supporting a C-level executive or founder, ideally in a start-up/SME or fast-paced environment

  • Strong written and verbal communication skills in English

  • High discretion and comfort holding confidential, sensitive information

  • Demonstrated ability to manage multiple open threads and proactively drive follow-through without being asked

  • Must be willing to work onsite in Ortigas, Pasig once a week

  • BONUS: Familiarity with EOS (Entrepreneurial Operating System) terminology and rhythms

  • BONUS: Experience in B2B SaaS, health tech, or HMO/insurance environment
