Job Duties and Preferred Qualifications:
1. Experience providing Human Resources related administrative support, including recruitment and/or onboarding activities.
2. Experience providing administrative support to executive or senior-level leadership. The City of Virginia Beach is seeking an organized, detail oriented professional to serve as an Executive Assistant II supporting the Chief Facilities Officer and the Facilities team. This position provides administrative and operational support and serves as a central point of coordination for a variety of departmental activities, including recruitment and onboarding, meetings, contracts, reporting, and other administrative processes.
Duties include:
Provide executive level administrative support to the Chief Facilities Officer, including calendar management, scheduling appointments and meetings, and coordinating day to day administrative activities.
Serve as a central coordinator for Public Facilities recruitment and onboarding activities, working with hiring managers and Human Resources to facilitate recruitment processes and onboarding requirements.
Assist with Workday activities related to recruitment, onboarding, personnel actions, and other assigned administrative processes.
Coordinate and schedule interviews, meetings, and other activities.
Conduct research and compile information related to departmental operations, contracts, projects, and other assigned matters.
Prepare and maintain correspondence, reports, spreadsheets, presentations, tracking documents, and other administrative materials.
Maintain organized and accurate electronic records, files, and documentation related to departmental activities.
Receive and respond to inquiries and coordinate with appropriate staff, departments, contractors, consultants, and other stakeholders as needed.
Handle confidential and sensitive personnel, recruitment, and departmental information.
Provide administrative support for special projects and other operational needs of the Facilities team as assigned.
The ideal candidate will have:
1. Experience providing Human Resources related administrative support, including recruitment and/or onboarding activities.
2. Experience providing administrative support to executive or senior-level leadership.

Minimum Requirements:
Minimum Qualifications: Graduation High school diploma or GED plus five (5) years’ experience in fields providing the required knowledge, skills, and abilities and associated with such positions as Administrative Assistant or Executive Assistant with increasingly responsible administrative support work. Passing score on a typing test may be required. Special Requirements: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Must be available to work evenings, weekends, holidays, and overtime when required to meet operational needs.Skills:
