Executive Assistant
Role purpose
Provide high-level administrative and coordination support to the Board Secretary and Legal Division. The role ensures smooth governance operations by managing schedules, communications, documentation, and Board-related activities while acting as a key liaison between internal stakeholders and external parties.
Key responsibilities
Board secretariat support
Support the Board Secretary in all Board Secretariat activities
Assist in organising Board and Committee meetings, including logistics and documentation
Board meetings coordination
Coordinate meeting schedules with Board members and senior management
Prepare agendas, board papers, and supporting materials
Ensure timely and accurate distribution of Board documentation
Documentation and record management
Maintain Board records, minutes, and governance documentation
Ensure proper filing, archiving, and confidentiality of sensitive documents
Communication and liaison
Act as a point of contact between Board members, management, and external stakeholders
Assist in preparing formal correspondence related to governance matters
Meeting minutes and follow-up
Record meeting minutes and track action items
Follow up on outstanding actions to ensure timely completion
Governance administration
Maintain governance registers, Board membership records, and committee structures
Support compliance with corporate governance policies and procedures
Confidentiality and information security
Handle sensitive information with strict confidentiality
Ensure secure access and storage of governance documentation
General duties
Support the Board Secretary with additional administrative tasks as required
Ensure adherence to company policies, procedures, and governance standards
Qualifications
Diploma or Bachelor’s degree in Business Administration, Public Relations, Literature, or related field
Experience
Minimum 5 years’ experience in administrative roles within corporate, banking, or commercial environments
Skills and competencies
- Fluency in both Arabic and English
- Strong organisational and time management skills
- Excellent written and verbal communication abilities
- Proficiency in preparing reports, presentations, and correspondence
- Strong interpersonal and stakeholder management skills
- Ability to multitask and work under pressure
- High level of professionalism, discretion, and attention to detail
