Position Overview
We are seeking a highly organized, proactive, and polished Executive Assistant to support the President and other members of the executive team. This position serves as a key partner to the President and a primary point of contact for internal and external stakeholders.
The ideal candidate is a forward-thinking, solutions-oriented professional with exceptional judgment, strong business acumen, and outstanding organizational and communication skills. This individual will be comfortable managing sensitive information, navigating competing priorities, and anticipating needs in a fast-paced environment.
Success in this role requires someone who is detail-oriented, adaptable, discreet, and confident working with people at all levels of an organization.
Key Responsibilities
- Manage the President’s calendar, including scheduling, prioritization, and gatekeeping.
- Plan and coordinate internal and external meetings, events, and executive activities.
- Coordinate all aspects of business travel, including flights, ground transportation, accommodations, and itineraries.
- Prepare meetings for maximum effectiveness, including agendas, pre-reads, handouts, presentations, technology, meeting spaces, and other logistics.
- Research and coordinate venues, catering, entertainment, and other event-related needs.
- Support quarterly Board meetings and company Townhalls, including presentation preparation and meeting logistics.
- Monitor and prioritize incoming mail and email, ensuring important matters receive timely attention.
- Communicate on behalf of the President with internal and external stakeholders.
- Maintain organized administrative files, records, documents, and other confidential information.
- Compile and organize business and personal expenses, invoices, and financial documentation.
- Handle sensitive business and personal information with the highest level of confidentiality and discretion.
- Anticipate needs, identify potential issues, and proactively provide solutions.
- Provide additional administrative and organizational support to the executive team as needed.
Qualifications & Experience
- Minimum of 3 years of related executive or administrative experience.
- Associate or bachelor’s degree in business, marketing, communications, or a related field preferred; equivalent experience will be considered.
- Expert-level written and verbal communication skills.
- Strong proficiency with Microsoft Office and other business technology.
- Demonstrated ability to manage multiple priorities, projects, and deadlines simultaneously.
