Executive Assistant (Luxury Real Estate)
This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Executive Assistant (Luxury Real Estate) based in Brazil.
This is a high-impact Executive Assistant opportunity supporting two principals within a high-touch luxury real estate advisory environment.
You will take ownership of essential administrative and operational workflows, helping senior leaders stay focused on clients, relationships, and business growth.
The role centers on executive calendar management, inbox organization, scheduling, communications, and document coordination.
You will act as a trusted point of contact for clients, vendors, partners, and other third parties, representing the business with professionalism and discretion.
Success requires strong judgment, exceptional organization, proactive follow-through, and the ability to anticipate needs rather than simply respond to requests.
You will work independently in a fast-paced environment where responsiveness, accuracy, confidentiality, and polished communication are essential.

Accountabilities
- Manage and maintain calendars for two principals across multiple commitments, proactively identifying conflicts and recommending solutions.
- Schedule, reschedule, and coordinate meetings, appointments, and other commitments while ensuring the principals are properly prepared.
- Track deadlines, follow-ups, outstanding tasks, and important commitments to ensure nothing falls through the cracks.
- Monitor, organize, and triage executive inboxes, identifying priorities and flagging urgent or sensitive communications.
- Draft routine email responses and correspondence when appropriate while maintaining a polished, professional tone.
- Communicate with clients, vendors, partners, service providers, and other third parties on behalf of the principals.
- Coordinate appointments, requests, and follow-ups and proactively ensure vendors and third parties complete assigned tasks.
- Prepare, organize, update, and maintain business documents using provided templates while ensuring accuracy and professional formatting.
- Maintain structured digital files, folders, task lists, and recurring administrative workflows.
- Research information and handle routine administrative requests efficiently.
- Identify opportunities to improve organization, streamline workflows, and reduce the administrative workload of the principals.
- Take full ownership of assigned tasks through completion and provide proactive updates when needed.
- Handle confidential and sensitive business information with appropriate discretion.
- Mid-level to senior experience as an Executive Assistant, preferably supporting executives, business owners, entrepreneurs, or other senior professionals.
- Bachelor's degree preferred.
- Advanced to fluent English proficiency, both written and verbal, with the ability to communicate confidently and professionally.
- Strong experience with executive calendar management, scheduling, appointment coordination, and inbox management.
- Excellent written communication skills and the ability to draft clear, polished professional correspondence.
- Strong organizational and time-management abilities, with exceptional attention to detail.
- Proven ability to manage multiple priorities and maintain reliable follow-through in a fast-paced environment.
- Ability to work independently, exercise sound judgment, and make appropriate decisions within the scope of the role.
- Comfortable handling confidential and sensitive business information.
- Strong client- and service-oriented communication style with a polished and professional approach.
- Proficiency with Microsoft Office and/or Google Workspace.
- Strong independent problem-solving and task-management capabilities.
- Real estate experience is highly desirable, particularly within luxury residential real estate.
- Experience supporting multiple executives or business owners, coordinating vendors, or working with U.S.-based executives or clients is a plus.
- Familiarity with CRM systems, transaction management platforms, or real estate technology is an advantage.
- Fully remote position based in Latin America.
- Full-time schedule, Monday through Friday.
- Working hours aligned with Pacific Time (Las Vegas).
- Competitive compensation of $1,500–$2,000 USD per month, depending on experience.
