Macmillan Davies is partnering with a successful and fast-moving organisation to recruit an experienced Executive Assistant for a varied and highly visible role.

Sitting within the HR team, you will provide high-level support to members of the Executive Committee and Senior Leadership Team. You will play an important role in ensuring senior leaders are organised, well prepared and able to focus on their key priorities.

Alongside executive support, the position will include HR administration, office management responsibilities and general administrative duties. You will also provide occasional reception cover, helping to ensure the office remains professional, welcoming and well organised.

The role

Your responsibilities will include:

  • Managing complex and frequently changing diaries for ExCo members and senior leaders
  • Coordinating leadership and board meetings, including preparing agendas, compiling board packs and circulating relevant documentation
  • Monitoring actions and following up with stakeholders to ensure agreed deadlines are met
  • Arranging UK and international travel, accommodation and detailed itineraries
  • Organising leadership events, conferences, team meetings and wider company activities
  • Acting as a professional point of contact for internal and external stakeholders
  • Preparing presentations, reports, correspondence and other business documents
  • Supporting the HR team with confidential documentation, meetings and people-related administration
  • Handling sensitive business and employee information with complete discretion
  • Providing office management support, including coordinating suppliers, facilities requirements and general office arrangements
  • Undertaking general administrative duties across the HR and leadership teams
  • Providing reception cover when required, welcoming visitors and handling incoming enquiries professionally
  • Coordinating projects involving multiple stakeholders, priorities and deadlines
  • Anticipating potential issues and taking proactive action to keep plans on track
About you

We are looking for an accomplished Executive Assistant who can bring sound judgement, discretion and excellent organisational skills to a demanding role.

You will ideally have:

  • Previous experience supporting ExCo members, directors or a senior leadership team
  • Strong experience managing multiple complex diaries and changing priorities
  • Experience preparing board packs and coordinating senior-level meetings
  • The ability to manage travel arrangements and detailed itineraries
  • Experience organising corporate events, leadership meetings or conferences
  • Confidence handling confidential and sensitive information
  • A flexible and collaborative approach to office management, administration and reception support
  • Excellent written and verbal communication skills
  • Strong attention to detail and the ability to produce high-quality documents and presentations
  • A proactive approach and the confidence to use your initiative
  • Strong IT skills and an interest in using technology and AI tools to improve efficiency
  • The ability to build trusted relationships at every level of an organisation


Previous experience working within or alongside an HR team would be advantageous, although it is not essential.

Salary: £45,000 plus bonus and benefits

This is a full-time position offering hybrid working, with three days based in the Alderley Park office and two days working from home.
