Executive Assistant Officer

Summary:
The Executive Assistant Officer plays a vital support role within the department, ensuring the smooth and efficient operation of administrative functions. This position is responsible for managing day-to-day office operations, including mail handling, document management, equipment maintenance coordination, and oversight of departmental supplies. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. Responsibilities:
  • Oversee the receipt, sorting, and dispatch of internal and external mail.
  • Maintain accurate records, manage filing systems, and ensure efficient retrieval of documents.
  • Operate photocopiers and other office equipment for the reproduction of official documents, forms, and speeches.
  • Supervise the departmental archives, ensuring proper storage, cataloging, and accessibility of historical and current records.
  • Serve as liaison with service agents for timely repairs and maintenance of office equipment.
  • Manage the Departmental Store, including inventory control, stock replenishment, and distribution of office supplies.
