Otter Tail Corporation is seeking a detail-oriented and highly organized Executive Assistant to provide high-level administrative, operational, and coordination support to assigned corporate executives, departments, and our Fergus Falls office location. This role supports executive calendars, meetings, travel, expenses, board and committee materials, site coordination, presentations, records, special projects, and process improvement efforts while maintaining confidentiality, sound judgment, attention to detail, and financial/business acumen.
A successful candidate will be a proactive communicator and trusted partner who can manage competing priorities, work across leaders and departments, handle confidential information with discretion, and identify opportunities to improve workflows through technology, AI-enabled tools, and business automation..
SUMMARY OF KEY RESPONSIBILITIES
- Executive and Administrative Support: provide proactive support to assigned executives and departments; manage complex calendars, meetings, travel arrangements, expense reports, timesheets, agendas, materials, correspondence, presentations, and follow-up commitments; coordinate communication and workflow across leaders and stakeholders; handle confidential information with discretion.
- Board and Governance Support: Coordinate board and committee material planning, preparation, editing, distribution, and portal uploads; support board-related meeting planning, logistics, and assigned follow-up; coordinate with Corporate Secretary and coordinating officers as directed.
- Department and Targeted Support: Support assigned corporate functions based on business need; aviation support; itineraries, lodging, ground transportation, blackout period notifications, and related communications when assigned.
- Meeting, Event, and Project Support: Coordinate leadership meetings, department meetings, on-site/off-site events, agendas, materials, logistics, and follow-up; support special projects and help ensure assigned actions are completed.
- Site and Office Support: Own the ongoing coordination and day-to-day maintenance of assigned office location(s), including mail, visitor coordination, supplies, printers, facilities requests, vendor coordination, and workplace needs; proactively identify issues, coordinate appropriate resources, track follow-up through completion.
- Continuous Improvement and Innovation: evaluate, recommend, implement, and support AI-enabled solutions, automation tools, and process improvements; identify opportunities to streamline workflows, improve information management and reporting, reduce manual work, enhance collaboration, and increase executive and departmental productivity.
QUALIFICATIONS
- Associate’s Degree or Two-Year College Equivalent Required. Coursework, training, or work experience in accounting, finance, business administration, or a related field preferred.
- 3-5 years of administrative or executive support experience relative to the position; experience supporting director-level or vice president-level leaders preferred.
- Advanced skills working with Microsoft Office and collaboration tools, including preparing polished executive-level materials, presentations, and communications; organization, time management, attention to detail, confidentiality, judgment, and follow-through required.

- The expected base compensation for this role is $60,060-$78,000 annually. Actual base compensation within the identified range will vary based on factors relevant to the position.
